Job Description - Business Administration Manager

*InTulsa is partnering with FreeWorld to find candidates for this exciting role in Tulsa***Location: Tulsa, OK. This is a remote position for those already in Tulsa, OK or willing to relocate to Tulsa, OK**

 

About the Role

We’re seeking a passionate, talented Business Administration Manager with a broad range of knowledge and skills in business administration, small office management, entry-level accounting, and human resources.

The ideal candidate will be versed in a variety of administrative tasks and be excited to work across multiple departments to ensure FreeWorld has a strong foundation to support our incredible growth.

  • You work best alone. As a member of the People Empowerment Team, you will need to be approachable and collaborate with diverse team members in every department. If you prefer to stay in your lane and keep your head down, this role is not a good fit.

 

How you will make an impact:

Administration

  • You will be a back-office swiss army knife, utilizing your varied skill set to support FreeWorld’s business operations as we continue our incredible growth and navigate the challenges that come with scaling our impact.
  • Overseeing all business administrative tasks including licensing, insurance renewals, annual reports and surveys, and staying ahead of state requirements, laws, and regulations that may affect our operating sites.Collaborating with all departments to develop and refine company-wide organizational practices and develop an internal FreeWorld knowledgebase.
  • Managing all incoming communications including virtual mailboxes and maintaining accurate, easy to locate, digital records.
  • Completing annual business reports, maintaining license and registration requirements, and overseeing insurance renewals.

Financial

  • Acting as a liaison between FreeWorld and our external accounting firm/ bookkeeper.
  • Managing all internal finance-related tasks such as providing GL coding for transactions, reviewing monthly credit card expenses, using Bill.com to approve invoices (AP), and creating and sending invoices (AR).
  • Providing audit support as needed, including creating reports and providing documents to the auditor.

People Operations

  • Being a thought partner to the Director of People Empowerment and assisting with creating, maintaining, and tracking internal people processes such as professional development opportunities, employee appreciation, and employee performance objectives.
  • Providing light support as needed in the areas of talent acquisition, onboarding, contractor management, and event planning.

Skills and Qualifications

Minimum Qualifications:

  • You have 3+ years of experience: You’ve managed all office and administration tasks for a 20+ person company as a decision-maker.

  • You’re a cross-functional team player: You’re a clear, direct communicator who’s comfortable working with colleagues across a variety of teams and backgrounds. You have a cooperative attitude and willingness to learn and assist others.
  • You’re a details person: You are thorough and systematic with exceptional attention to detail. You begin with the end in mind, and quickly and accurately plan out your approach, considering the smallest of details.
  • You’re a problem-solving pro: When you find a problem, you fix it. You excel when you have the autonomy to test and evaluate solutions on your own then report back your findings.
  • You’re a multi-tasking magician: You have an inhumane ability to juggle multiple goals, tasks, and timelines and keep them on track to meet deadlines.
  • You’re a natural communicator: You have excellent verbal and written communication skills with a knack for researching, organizing, and presenting information effectively.
  • You have no ego: You are just as comfortable doing data entry and checking mailas you are navigating complex challenges to scaling the organization.
  • You do remote work well: You are tech-saavy and can navigate the challenges of remote work while staying focused, and connecting with colleagues along the way.
  • You have a good internet connection: You have High-speed cable internet or better with a minimum download speed of 100Mbps and a minimum upload speed of 10Mbps

Bonus Qualifications:

  • You have been personally impacted by the criminal legal system. A criminal record is preferred, but not required.
  • You have worked remotely in a tech startup or nonprofit.
  • You used Slack, Asana, and Zendesk in previous roles.

What we Offer:

The compensation for this position is based on experience, but we are targeting $50,000-$65,000 depending on experience.
