Position Purpose:

Provides customer service, administrative, logistical, and project support to the Office of Human Resources.

Required Qualifications - Education and Yrs Exp:

Associates plus 1-2 year(s) of experience or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities:

  • Excellent writing and interpersonal skills with a strong customer service ethic.
  • Strong proficiency with computer applications (Microsoft Outlook, Word, PowerPoint, and Excel) and database programs.
  • Strong organizational skills and excellent attention to detail.
  • Ability to communicate respectfully with a diverse community and support the Department’s mission to foster inclusiveness and diversity.
  • Good judgment, problem solving, and analytical skills.
  • Tact, diplomacy, and ability to maintain confidentiality.
  • Able to balance many tasks simultaneously, prioritize and work independently while keeping supervisor well-informed of progress.
Preferred Qualifications:

  • Demonstrated successful work experience in a large and/or complex environment where collaboration and flexibility were essential.
  • Program coordination experience strongly preferred.
  • Experience in human resources and interest in employee engagement helpful.

Information Management and Compliance Reporting

  • Designs and achieves the internal controls, reporting and customer service objectives of the HR Operations Team. Interacts with department and division administrators to resolve issues, and address compliance questions.
  • Generates reports from multiple software programs, manipulating data and compiling reports from the database as needed.
  • Maintains I-9 records.
  • Engages with third party service providers to maintain the ongoing products and services needed by the HR Operations Team.
  • Maintains and updates the HR website.
  • Monitors and maintains employee personnel records.
  • Ensures compliance with college policies and procedures.

Description:

Customer Service/Operations

  • Manages the daily workflow of the Human Resources reception. Greets visitors to the office and responds to all inquiries in person, phone, email, and video, ensuring highest level of customer service.
  • Provides relevant and accurate information in response to inquiries or promptly connects individuals to appropriate resources. Follows up to ensure resolution.
  • Assists employees in using various online systems to complete employment-related tasks.
  • Completes I-9 and E-Verify process for new employees.
  • Maintains welcoming appearance of common/shared areas.
  • Updates materials displayed in the front office and ensures office machines are ready for use.
  • Maintains HR file room, ensuring compliance with record management standards.
  • Receives and distributes incoming mail.
  • Orders and maintains office supplies.
  • Assists job seekers with completing employment applications and general application questions.

Description:

Program and Project Support

  • Initiates, tracks, and reviews employee background checks.
  • Coordinates employment activities related to job postings and the application process.
  • Coordinates and supports employee programs and events, including scheduling, logistical planning, participant registration, and record-keeping. Collaborates with other offices as needed.
  • Consults with customers and managers within Human Resources to recommend solutions to improve processes.
  • Schedules staff meetings. Initiates and manages space reservations for meetings.
  • Supervises and coordinates work performed by student employees.
  • Provides project support to HR colleagues as needed.

Leadership Support

  • Provides administrative support to the Chief Human Resources Officer (CHRO).
  • Schedules and plans meetings at CHRO’s direction.
  • Takes minutes at meetings as requested.
  • Provides support to other HR leadership as needed.
