Job Description - Senior Administrative Coordinator

INVISTA Houston Propylene has an opening for Sr. Administrative Coordinator. This role reports directly to the Plant Manager providing ongoing support and fulfillment of plant site administrative duties for the Site Leadership Team. Our Team While reporting to the Plant Manager directly, this role also provides support to the entire Houston Propylene Leadership Team. (HR Mgr., Operations Mgr., Asset Management Mgr., Health Security & Safety Mgr., Director of Public Affairs, Environmental Mgr., and Economics/Planning Director.) What You Will Do
  • Support the site to advance on strategic initiatives by marketing strategies, creating visibility and transparency to progress, and celebrating successes.
  • Maintain/modify/create Site SharePoint pages. Including entering announcements, daily Morning Report posting, Site Contents maintenance, and sub-pages i.e. HR, Town Hall, Projects, Environmental, etc.)
  • Enable the site Teams to be more efficient through identifying opportunities such as scheduling opportunities, meeting optimizations, and driving identified initiatives.
  • Manage strategic meetings/lunches/events, including offsite venues.
  • Assist with Charitable and specific Site events (publicity, spreadsheets, posters, decorating, etc.)
  • Owner of site Conference Rooms. Maintain/approve room reservations. (check multiple times a day)
  • Create site apps, pages, etc. at Plant Manager's request for employee enrichment efforts.
  • Own managing site Operating Supplies as needed.
  • IT assistance - as needed, help with workstation setup, and problem resolution.
  • Manage office building needs as directed - office locations, setups, etc.
  • Owner/maintenance of several site Distribution Lists. (salary, hourly, Leadership, daily report)
  • Distribute mail as received.
  • Coordinate invoices to INVISTA accounting when received via outside mail.
  • Issue Sitewide announcements as requested.
  • As available: assist Process with PHA's, P&ID handling/filing, etc.
  • Site Champion for AKMS. Gain a working knowledge of AKMS Accelerator to manage and edit new/existing site Procedures. Attend regular INVISTA AKMS company conference calls.
  • TA administrative support - pre and during.
  • Houston Propylene HR support (Keep up employee files, generate yearly schedules, conduct I9 employee processing, create NEO schedules, etc.).
  • Various assignments issued by the Plant Manager as well as directives, as needed, from the Leadership Team.
  • Site Notary. (need to apply)
Who You Are (Basic Qualifications)
  • Experience using Microsoft tools such as Word, Excel, SharePoint, etc.
  • Demonstrated organization skills and ability to manage multiple calendars for site leaders and meeting rooms
What Will Put You Ahead
  • Associate's degree or higher
  • Experience with Microsoft Power BI or other data visualization tools
  • Experience with some HR background
  • Experience with Documents and Procedures
  • Demonstrated creativity in organizing events, creating bulletins, promoting site involvement, etc.
