Senior Administrative Technician Location Durham, NC : Position Description

Salary range: $40,038.00 - $61,645.00 Annually Hiring Range: $40,038.00 - $47,755.00 Work Hours: 8:00 am - 4:30 pm (Hybrid schedule) The Community Development Department promotes thriving, livable neighborhoods in Durham. The Senior Administrative Technician is responsible for providing administrative support to the Community Development staff, projects and/or office including processing more complex financial and service-related transactions and monitoring their status; processing customer-related transactions such as service requests, registrations; preparing documents, reports, and presentations; entering and retrieving data; and ensuring the accuracy of information contained in databases and systems. This position responds to internal and external customer questions and inquiries by communicating standard policies and procedures.

Duties/Responsibilities
  • Provide internal and external customer service by answering and prioritizing phone calls, greeting customers, providing information related to assigned area, responding to inquiries, complaints, and requests for information, refer customers to appropriate resource for issue resolution. Identify and escalate high priority calls.
  • Receive, prepare, process, and verify transactions including calculating and providing refunds and recording and submitting financial documentation such as invoices, credit card expenses, travel authorizations and/or purchasing requisitions.
  • Serve as the divisional timekeeper, processing payroll transactions using established methods.
  • Updating of the Department Web Page.
  • Complete and monitor service requests.
  • Calendar management for senior level staff as assigned.
  • Coordinate repairs with vendor for general office equipment.
  • Open, log and distribute mail.
  • Prepare and produce documents, reports and/or presentations from verbal information and/or written drafts; provides general administrative support to staff and/or projects as assigned.
  • Monitor transactions for progress and perform research as required.
  • Monitor, setup and breakdown of conference and training rooms for meetings and events.
  • Coordinate and make meeting room arrangements.
  • Perform data entry into spreadsheets.
  • Prepare memos, correspondence, and reports.
  • Organize and maintain files.
  • May serve as the back-up to some of the listed duties and responsibilities.
  • Performs other duties of a similar nature and level as assigned.
Minimum Qualifications & Experience
  • High School Diploma or equivalent (GED, HiSet, TASC).
  • Three years of progressively responsible experience in office and administrative support procedures and processes.
Additional Preferred Skills
  • Associate Degree.
  • Three or more years of customer service experience.
  • Intermediate proficiency with Microsoft Suite including Word, Outlook, Power Point and Excel.
  • Experience with virtual meeting platforms such as MS Teams and/or Zoom.
  • Website experience.
  • North Carolina Public Notary Registration.
