Job Description - Senior Processing Archivist

Job Summary

An exciting opportunity to work in a team that supports campus planning, construction, and operations. The Senior Processing Archivist is responsible for processing historical paper architectural drawings as well as current digital design/construction records, that include BIM. Reporting to the PIRC Manager, the position is responsible for creating and maintaining metadata standards and ensuring information integrity in the collection management system. This position must stay current with industry trends related to building design and management. A successful candidate will have proven success with metadata curation, database management, and improvement strategies.



Harvard University Planning and Design (HUPAD) advances Harvard's mission of teaching and research in the service of humanity by sustaining and enhancing its built environment. HUPAD supports the stewardship of one of the world's most iconic academic settings and strives for excellence in campus planning and design.



The Property Information Resource Center (PIRC) within HUPAD is the principal archival repository for the records of Harvard University's buildings and land. The PIRC actively works on behalf of the University to collect, organize, steward, and make accessible documentation from capital construction projects at Harvard University. Additionally, PIRC collections and staff provide critical background research and material for campus planning, new construction projects, renovations, and maintenance to Harvard's buildings.

Position Description

Key Responsibilities:
  • Appraises, arranges, and describes archival materials, both analog and digital.
  • Analyzes, adds, and corrects descriptive metadata to ensure quality, integrity, and accuracy of collection information.
  • Devises systems and methods for processing collections considering; user access needs, professional standards, staff capacity, software limitations, and related collections.
  • Enhance processing efficiencies and workflows.
  • Contribute to creating policies and Standard Operating Procedures.
  • Conducts authority control and develops/maintains local taxonomies.
  • Research, document, and maintain building and land asset information.
  • Coordinates with off-site records storage staff, facilitating retrievals, refiles, and new acquisitions.
  • Maintains collection management system and user interface.
  • Identify and resolve problems resulting from incorrect, incomplete, or conflicting data in collection management system.
  • Maintain processing statistics for reporting.
  • Assists in designing and implementing new tools to improve access to the collections.
  • May assist with paper conservation

Basic Qualifications

  • MLIS with Archival concentration from an ALA-accredited school required.
  • Minimum two years of archival collections processing experience.

Additional Qualifications and Skills

  • Familiarity with best practices for the preservation of archival materials, particularly visual materials.
  • Familiarity with best practices for digital preservation
  • Demonstrated strong organizational skills, ability to manage workflow, multiple tasks, and complex problem-solving skills. Strong attention to detail and excellent analytical and critical thinking skills.
  • Proficiency with Microsoft Office Suite, especially Access and Excel.
  • Architectural records background is a plus.
  • Ability to work autonomously and within a team environment.
  • Familiarity with SQL, SSRS, and Crystal Reports preferred.
  • Experience with Gallery Systems' The Museum System and eMuseum preferred.
  • Familiarity with Adobe CS Suite including Bridge, AutoCAD, and HTML a plus.

Physical Requirements

Requires bending, lifting, and the ability to lift and carry rolls of drawings and up to 40 pounds.
