Job Description - SOCIAL SERVICES DIVISION MANAGER

  1. Purpose of Position

The position involves managing and coordinating the daily activities across multiple Social Services locations and contracts. This includes being the main point of contact for communication with USCIS staff. Fluency in a second language is essential.

  1. Essential Duties and Responsibilities
  • Contract Development and Collaboration : Oversee the development of Coordinated Entry and Community Health contracts, working closely with the funders and the KWA Social Service Director.
  • Hiring and Training : Collaborate with HR and the Social Service Director in the hiring process, and train a new team of citizenship instructors alongside USCIS staff.
  • Contract Compliance : Implement and adhere to the specific requirements outlined in each contract.
  • Audit Preparation : Work with the Social Service Director to prepare for audits by funders.
  • Supervision and Delegation : Supervise and delegate tasks to staff including supervisors, Coordinators, assistant, and volunteers, ensuring effective performance.
  • Team Coordination : Engage with team members, volunteers, and participants to plan activities and special events that enhance services.
  • Financial Coordination : Collaborate with finance staff and the Social Service Director to manage billing, especially for spend-down plans, ahead of the funding cycle's end.
  • Staff Management : Play an active role in the recruitment, selection, orientation, recognition, retention, and, if necessary, dismissal of staff and volunteers.
  • Training and Development : Organize and conduct essential training sessions for both employees and volunteers.
  • Performance Evaluation : Regularly evaluate the performance of employees and volunteers, setting performance standards and goals.
  • Personnel Records : Maintain accurate personnel records for all employees and volunteers according to KWA policies.
  • Data Management : Collaborate with the data specialist to collect and enter data on state, federal, and other funding programs/contracts' portals as well as the KWA social service database.
  • Reporting : Maintain records required for regular reporting, submitting these to KWA, federal, state, county, contract, and other relevant departments or offices.
  • Representation : Serve as a representative of KWA on committees and workgroups, as directed by the Social Service Director.
  • Community Engagement : Deliver community presentations on social services concerns as necessary.
  • Meeting Coordination : Initiate staff meetings and arrange training sessions when needed.
  • Outreach : Proactively reach out to Citizenship & Immigration services in other communities and regions.
  • Network Meetings : Attend network meetings as mandated by funders.
  • Additional Duties : Perform any other duties assigned to ensure the smooth operation of the Social Services department .
  1. Position Requirements, Competencies and Qualifications
  • Successfully pass criminal history and reference checks.
  • Must be bilingual with the ability to speak, read, and write English and other language for specific population for Immigration and Naturalization service.
  • Possess a valid driver's license, and current auto insurance, or be able to travel to different locations as required.
  • Strong understanding of the assigned community, including effective outreach methods.
  • Proficient in computer skills, including data entry, MS Office, MS Excel, Outlook Calendar, and generating reports from software.
  • Ability to produce well-written communications.
  • Excellent interpersonal, organizational, and communication skills.
  • Knowledge and experience in general business management and supervision.
  • Education
  • Bachelors degree in business management, business administration, Social Work, Health care, or similar field is preferred.
  • Experience
  • Must have a minimum of 2 years of paid supervisory experience in a nonprofit organization in the USA.

  • Work involves sitting most of the time, but may involve walking, standing, bending, reaching, twisting, and traveling
  1. Physical Requirements
  • Ability to apply principles of logical thinking, to define problems
  • Ability to interpret a variety of instructions furnished in written, verbal, diagrammatic or schedule form
  • Ability to read, write, speak, understand, or communicate in English sufficiently to perform the duties of the position
  • Clarity of vision at 20 inches or less, up to 20 feet or more
