Job Description - Sr. Administrative Assistant

The University of Texas MD Anderson Cancer Center in Houston is one of the world's most respected centers focused on cancer patient care, research, education and prevention. It is one of the nation's original three comprehensive cancer centers designated by the National Cancer Institute.The ideal candidate will have at least five years of administrative/secretarial experience to include Concur Travel Management and MSOffice and very strong with MS Excel. Must be willing to work a hybrid/flexible schedule. Faculty and Administrative Support
• Provides full administrative and secretarial support for department faculty.
• Maintains individual faculty calendars, answers the telephone, relays/takes messages.
• Schedules and coordinates meetings to include booking conference rooms, sending meeting invitations, establishing
room/equipment setup, initiating catering requests, preparing agendas/PowerPoint presentations/meeting materials,
taking attendance/minutes, finalizing and filing/sharing official minutes.
• Compiles reports, composes formal and informal correspondence, drafts and sends e-mails. Prepares and submits
manuscripts, abstracts and posters.
• Creates reports, graphs/charts, presentations, spreadsheets, and other documents and materials as required.
• Maintains faculty CVs/Bio-sketches in the FIS system, updating them at least monthly and/or as needed. May assist with
completion of individual Faculty Appraisals.
• Collects soiled lab coats and submits for cleaning, retrieves clean coats and distributes to faculty, and places orders for
new coats as needed.
• Delivers/picks up mail from the mailroom and distributes to staff.
• Processes requests for office keys, room signs, pagers, i-phones, long distance codes, etc. Assists with onboarding new
staff.
• Coordinates special projects and performs other duties as assigned by the Department Administrator.Travel Management
• Coordinates faculty time off/faculty extramural leave requests. Tracks Faculty Extramural Leave via designated
spreadsheet and provides monthly and annual update to faculty and Department Administrator.
• Completes and submits travel requests, expense reimbursement and check requests via Concur system. Ensures
all travel is submitted and processed according to institutional guidelines and in a timely manner. Completes/submits
registration/required conference documents and books flights, hotel reservations, transportation and coordinates other
related tasks. Confers with Department Administrator to obtain/verify appropriate fund source for travel expenses.
• Tracks and maintains faculty PRS allocation account expenses/balances for the fiscal year and verifies balance monthly
with Department Administrator. Notifies faculty monthly of their available balances.APRN Program/APRN Fellowship Program Support
• Provides administrative/clerical support for the APRN Programs and APRN Fellowship Program.
• Provides other related administrative support as requested. Other duties as assigned.QUALIFICATIONSEducation Required: High school diploma or equivalent.Preferred: Bachelor's Degree.ExperienceRequired: Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience. Must pass pre-employment skills test as required and administered by Human Resources.
