Job Description - Staff assistant - office operations

Overview:

The Emma Eccles Jones College of Education and Human Services seeks an experienced administrative professional to work as an essential member of the Dean’s office team. The individual will assist with daily operations of the Dean’s office as detailed in the Responsibilities section. This position offers opportunity for growth and career development.

Responsibilities:

Daily Operations:

  • Provide reception duties for the Dean’s office suite
  • Provide administrative support
  • Maintain college calendar website and directories
  • Oversee college awards process from nomination through award ceremony
  • Serves as the Emergency Response Coordinator for the College
  • Enters and tracks Facilities requests for the Dean’s office and Education building common spaces
  • Assist with event and meeting planning which may require early, late, or weekend work hours
  • Pcard and travel reconciliation for College Development Officers

Development and Stewardship:

  • Process donations and prepares acknowledgement letters and other correspondence
  • Maintain foundation, corporation, and individual donor files
  • Tracking and communicating project details and progress between PR & Marketing and Development teams
  • Works with departments/units in the College in the collection of letters of appreciation, photos, and other information from scholarship recipients to give to donors to help with engagement and appreciation
  • Attends Central Stewardship meetings and reports information back to Dean’s Office personnel

Student Award:

  • Cross trains with the Student Awards Staff Assistant to serve as backup when needed
  • Coordinates gift agreement criteria with Student Awards Staff Assistant
  • Data entry initiator of qualified and non-qualified awards
  • Individual follow up on unaccepted student awards
  • Works with Dean’s office Award Committee on Dean’s office awards and donor communication
Qualifications:

Minimum Qualifications:

  • Four years of secretarial or office-related experience; OR a certificate of completion of Business Administrative Support program plus two years of experience; OR an Associate’s degree plus two years of experience; OR a Bachelor’s degree plus one year of experience
  • Good understanding of the English language; excellent written communication skills, including spelling, grammar, and letter writing; excellent proofreading skills

Preferred Qualifications:

  • Bachelor’s degree plus THREE years of experience
  • Experience working in higher education
  • Experience with fundraising/development
  • Knowledge of USU's Student Banner System

Knowledge, Skills, and Abilities:

  • Strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint), page layout or design programs, mail merge, webpage maintenance, and databases
  • Project management skills and ability to meet deadlines, as well as keep others on track
  • Ability to work effectively in a fast-paced, demanding office, and to manage multiple tasks in a timely, effective, and detail-oriented manner
  • Effective organization and problem-solving skills, with the ability to work independently with limited supervision
  • Ability to maintain a high degree of confidentiality, sensitivity, and discretion
  • Ability to effectively interact with office personnel to meet deadlines and prioritize workload appropriately and adjust responsibilities as needed
  • Excellent interpersonal and proven customer service skills with the ability to communicate in a professional manner with the University community, senior members of administration, donors, and University guests
  • Ability to maintain a positive, customer-service friendly attitude

Advertised Salary: Minimum $36,320 commensurate with experience plus excellent benefits ADA:

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions.
