Maintenance Dispatching Lead

Responsibilities:

• Lead and Develop Your Team:
  • Provide day-to-day coaching and mentorship to dispatchers, fostering a culture of accuracy, efficiency, and continuous improvement.
  • Conduct regular team meetings to review metrics, address challenges, and celebrate successes.
  • Develop and manage dispatcher schedules to ensure optimal coverage.
  • Oversee dispatcher training programs, ensuring they have the skills and knowledge to excel.
• Optimize Dispatch Processes:
  • Streamline dispatch procedures for accuracy and efficiency, including prioritizing work orders, ensuring proper research before dispatch, and expediting completion photos for owners.
  • Collaborate with Maintenance and Construction Directors to establish clear Standard Operating Procedures (SOPs) for dispatch and maintenance activities.
  • Implement new processes and software solutions to enhance overall workflow and communication.
• Manage Third-Party Relationships:
  • Oversee subcontractor pricing and work completion, ensuring quality and adherence to agreements.
  • Conduct vendor audits to evaluate performance and identify improvement opportunities.
  • Make informed decisions regarding subcontractor selection and termination.
• Maintain Open Communication:
  • Proactively reach out to owners regarding estimates, recurring maintenance needs, and other relevant issues.
  • Address owner and tenant inquiries effectively, resolving concerns promptly and escalating complex situations when necessary.
  • Work collaboratively with Maintenance and Construction Directors to provide clear information and training to technicians.

Qualifications:

• Proven experience in a maintenance dispatching or related role
• Strong attendance record.
• Strong leadership, coaching, and mentoring skills
• Excellent problem-solving and decision-making abilities
• Meticulous attention to detail and a commitment to accuracy
• Exceptional communication, interpersonal, and organizational skills
• Proficiency in maintenance dispatch software and relevant technologies
