Position Summary:

Provide business and administrative support to facilitate the planning, coordination, and tracking activities of designated projects to ensure that goals and objectives are accomplished within prescribed time frame and funding parameters.

Essential Functions/Position Responsibilities:

  • Commitment to the Code of Conduct and Safety 24/7.
  • Oversees/process day to day administrative tasks including but not limited to preparing documents, creating spreadsheets and graphs, compiling reports, copying.
  • Must be able to gain understanding of the various components of Division's contracts and service work including but not limited to AIAs, Change Orders, submittal logs, schedules, construction drawings and purchase orders.
  • Designated project's PROCORE/Documentation Management
  • Manage Submittals & RFIs: Prepare, review, post to share sites, distribute to vendors, engineers & subs; maintains logs
  • Manage the O&M Manuals Compilation & QA/QC reporting .
  • Track and report on B alance S core C ards /KPI's , tools and equipment assign ments .
  • Assist project teams with outside vendor management , to include purchases .
  • Assist project teams with the project field supervision.
  • Request and evaluate prices from vendors and subcontractors
  • Track and expedite material deliveries.
  • Helps in the preparation of P3 documents and Peer Reviews.
  • Schedules and coordinates meetings and other events for the projects
  • Composes letters, reports and memos for supervisor's review and signature.
  • Performs additional assignments as necessary to support the projects .

Hiring Requirements:

  • Bachelor's Degree in Civil Engineering, Construction Management, Mechanical Engineering, or other related degrees a plus , or equivalent combinations of technical training and/or related experience .
  • Basic knowledge of engineering, cost control schedules and safety required.
  • Two years of experience in construction administration, design, finance, and management desirable. Education may be substituted for experience. 
  • Basic analytic skills and the ability to handle projects costs and invoices .
  • Possesses discipline regarding processes , procedures , and demonstrated organizational skills .
  • Strong computer skills in Microsoft Office.  Knowledge of Procore, Microsoft Project or Oracle Primavera is desirable .
  • Strong interpersonal skills combined with the ability to communicate well both verbally and in writing.
  • Position has continual contact with field supervisors, management, project staff and external customers. Must be courteous, professional, and diplomatic. 
  • Must possess a valid unrestricted Driver's License
