Mortgage Servicing Records Management Specialist Location Lowell, AR :

Position is Monday through Friday 8 am to 5 pm with ability to work additional hours as needed.

Job Title: Mortgage Servicing Records Management Specialist

The Mortgage Servicing Records Management Specialist is responsible for completing the daily functions associated with Collateral Documents, Lien Releases, as well as electronic and physical documents. The Specialist will perform a variety of duties and work with internal and external customers (sellers, vendors, investors, etc.,) The Specialist will ensure that all required documentation is received, accurate and tracked according to custodian/investor standards. Additionally, the Specialist will work to ensure all lien releases are created and recorded within statutory timelines. The Specialist will ensure that all electronic and physical documents are received and available for future transfers as well as internal departments to service. The Specialist will work with their team to ensure all tasks are performed timely and accurately per internal investor, state and federal regulations/requirements.

What You'll Do at Arvest: (Other duties may be assigned.)

• Receive, prepare and load all electronic image files into the ECM (Enterprise Content Management) system in an efficient and timely manner. This includes working with sellers for direct receipt as well as image files received from investors.

• Verify that images are received, loaded into the ECM indexed accurately, and ensure the OCR (optical character recognition) is accurate based off document types. Work in conjunction with business units and vendor on resolving any data extraction errors.

• Receive, prepare, and scan any paper documents/files into the ECM in an efficient and timely manner. Complete image quality assurance/validation for all paper conversions and electronically index unsorted image records via Workflow.

• Work with sellers, title companies, and investors to ensure all trailing documents are received. Work with the third parties to ensure receipt of missing documents and corrections made as needed.

• Continually work with MSD and Arvest File Transfer (Momentum) to enhance efficiency in the electronic file process. Trouble-shoot with MSD and Momentum to determine cause of issues that arise in transfer of files or in the ECM. Support MSD, Momentum and Mortgage Acquisition with setting up new electronic lenders and maintaining current lenders.

• Work closely with third party vendor to ensure Lien Release process is completed for all Paid-In-Full loans within statutory timelines. This includes verifying all required loan data is sent, images are uploaded, and release process is monitored through completion, while updating the servicing platform to reflect the status.

• Resolve complex Broken Chain of Title issues. This includes working with sellers, counties, title companies, the FDIC and document custodians to ensure all necessary documents are available. In some cases, assignments will have to be created and signers located for closed companies tracking that company's merger, bought and sold history. For liens that cannot be released, the associate(s) will need to work with the Litigation Department to ensure lien is removed.

• Review and handle all correspondence related to Lien Releases timely and accurately. This includes internal emails and communications as well as correspondence from a multitude of ways from external companies.

• Work with sellers, title companies, and our vendor to ensure all trailing documents are received, audited, imaged, and notated in MSP. This includes ensuring corrections are made as necessary by sellers and title companies, as well as completing those corrections for Arvest originated loans and having the recorded security instrument re-recorded as needed in some instances.

• Working with custodians to ensure that GNMA loans are able to be Final Certified and working with buyers for Arvest originated loans to ensure all documents are sent/ received to ensure no penalties are accrued.

• Maintain the File Room(s). This includes filing new collateral files as needed and maintaining the existing collateral files. Associate(s) are also responsible for filing physical notes as needed in Fire Safes and ensuring constant tracking to prevent any monetary loss.

• Working with Document Custodians for tracking of files and requesting/returning as needed. Files are requested for Paid-In-Full loans, default scenarios, and for other servicing related issues. Work with custodian on reporting and updating statuses for files held longer than 90 days as well as resolving custodian file issues.

• Understand and comply with bank policy, laws, regulations, and the bank's BSA/AML Program, as applicable to your job duties. This includes but is not limited to; complete compliance training and adhere to internal procedures and controls; report any known violations of compliance policy, laws, or regulations and report any suspicious customer and/or account activity.

• High School Diploma or General Education Diploma (GED) required.

• 2 years of mortgage/banking experience required.

• 1 year of customer service experience required.

• Knowledge of mortgage loan documents, chain of title, and document processing required.

• General knowledge of network operating systems, telecommunications, telephone systems and PC hardware/software is required.

• Proficiency in Microsoft Excel and/or Google Sheets, required.

• Experience in a daily document processing environment preferred.

• FTP (File Transfer Protocol) experience preferred.

• Black Knight (MSP) and Nautilus (ECM) experience preferred.

• Associates Degree preferred.

• Relevant military experience is considered for veterans and transitioning service members.

The associate must be able to travel occasionally by themselves within the US, possibly overnight.
