Job Description - Patient Services Representative, Contact Center

Position Summary:
Schedules all office related visits in a thorough and friendly manner.  Responsible  for accurate data entry of patient demographics and primary/referring physicians.  Ensures that all details of the visit are communicated to the patient so that upon arrival the appointment can go on as scheduled. Qualifications:

  • High school degree or GED required

  • Computer skills required.

  • Scheduling experience preferred.

  • Strong organization skills.

  • Strong communications skills, both oral and written.

  • Some knowledge medical terminology

Contacts:
Interacts with all levels of the URA business organization. Job Responsibilities:

  • To have excellent understanding of all protocols and preferences for each Physicians schedule.

  • Knowledge/understanding of all appointment types.

  • Log each call with specific patient information, name, referring doctor, insurance and reason for visit, reason for cancelation or reschedule.

  • Maintain/recheck documentation call log for scheduling accuracy.

  • Schedule office appointments and in-office procedures for all providers.

  • Schedule/reserve ultrasound room when appropriate at correct location.

  • Check clinical module for last dictation and recall (tickler) for directives of next appointments.

  • Schedule and reply to all inter-office email appointment requests.

  • Check recall and link appointments when appropriate

  • Email/print med recs slip for all medical records requests.

  • Email all secretaries of Lupron shot appointments.

  • Email lab requests

  • Review and maintain doctors schedules assigned to you, including resolving any and all conflicts.

  • Compile and mail correct patient instructions for in-office procedures

  • Obtain/document pt insurance info for vasectomy appts and forward to Christin/billing dept.

  • Manage doctors bumped lists

  • Voicemail

Physical Requirements

  • Manual Dexterity

Constantly required to perform gross body coordination such as walking, stooping, and standing while performing tasks, carrying and lifting objects. Constantly required to perform simple motor skills and manipulative skills such as typing and writing.

  • Mobility

Constantly required to sit for long periods of time.
Required to walk and stand (including for long periods of time).

  • Visual Discrimination

Constantly required to read computer screen.

  • Hearing

Constantly required to hear normal sounds with some background noise when answering phones.

  • Mental Requirements:

Able to process great amounts of information, apply problem solving skills and exercise good judgment. Able to concentrate on details with interruptions. Travel Requirements:
None.
