Job Description - Sales Coordinator

The Sales Coordinator will be responsible for assisting the sales teams and facilitating communication between sales representatives, internal teams, and external vendors, contributing to increasing team efficiency by providing administrative support while maintaining positive customer relations with existing and future clients.

This position will involve working directly with the Sales Department and General Manager to achieve sales goals across the designated territory and markets, often multi-state.

  • Provide administrative assistance and support to the Sales Team, which includes reviewing all orders submitted to confirm pricing, model numbers, specifications, options, sales tax, and customer information, to guarantee Sales Representatives have accurate information for customer invoices and files.
  • Processes and enters all signed sales orders and quotes received into the accounting system. Assists with ordering the equipment, tracking the delivery to the warehouse, as well as, coordinating with the Installers the delivery schedule to meet customer’s timelines and availability. Maintaining and updating the Installation Tracker Form to confirm costs on installs are consistent with what was quoted for the job, and alert Sales Representative of any inconsistencies with the pricing.
  • Responsible for entering customer information into logging systems SAGE X3 ERP system.
  • Customer support expert, responsible for answering phone calls and email correspondence . Expected to connect with customers to confirm and communicate the status of the order, including notifications of any possible delays or setbacks, answering inquiries, and confirming details of orders. Effectively communicate any customer issues to the Sales Representative, Sales Managers and GM to anticipate and escalate customer service issues accordingly.
  • Connects with the Sales Managers or GM to build and process special projects such as construction contracts for projects within the given State or City Public Works Contracts as they may involve prevailing wage rates as set by each County per the Department of Labor and Industries. May require filing intents prior to delivery of equipment and Affidavits after job/project is complete. May require collaboration with accounting if certified payrolls are required, and with Service Manager to determine job classification to assess scope of work.
  • Partners with the warehouse, parts, and service departments to verify the availability of parts, equipment, and personnel.
  • Assist with creation of invoices for all orders upon delivery and/or installation of equipment to the customer , along with providing the customer a copy of their invoice and After Sale Support information.
  • Process Invoices through the required process in a timely manner to ensure prompt payment within payment terms. Additional duties may include verifying all available equipment and freight discounts and rebates have been applied, posting Vendor Warranty Credits, Credit Card Returns.
  • Acts as a liaison between customer, sales representative and office, educating and improving the experience by promoting company products and services. Maintaining knowledge of special factory promotions.
  • Participates in process improvement initiatives as a Cross-Functional team member.
  • Forwards any potential leads and information to sales representatives according to the territory map, and effectively communicates top-level escalations to Sales Manager or General Manager

Education and Experience :

  • High School diploma or equivalent required.
  • 2+ years of related work experience in sales, administrative support role, or project coordination preferred. An equivalent combination of education, training, and experience will be considered.
  • Experience in telephone and email/ticketing system-based customer support preferred.
  • Proficient computer skills including using MS Outlook, Word, and Excel preferred.
  • Working knowledge of ERP systems; SageX3 experience required.

  • Strong work ethic; Self-starter, demonstrating a proactive approach, self-initiative, and tenacity. Resilient; Able to confidently navigate ambiguity and change

Standard and Physical Requirements:

  • Position involves sitting long periods, standing, manual dexterity, stooping, bending.
  • Position requires the ability to lift, carry, push, and pull up to 25 lbs. occasionally. For greater weight items assistive devices will be provided.
  • While performing the duties of this job, the employee is regularly required to talk and hear; and use hands to manipulate objects or controls. Specific conditions of this job are typical of frequent and continuous computer-based work requiring periods of sitting; close vision and ability to adjust focus.

For California the base compensation range for this role is $25.00 to $30.00 / hour . Actual compensation is influenced by a variety of factors including but not limited to skills, experience, qualifications, and geographic location.
