Job Summary
The Guest Services Coordinator is responsible for working as part of a front-line customer-service team that provides excellent and seamless customer service to over 13,000 participants a year.

We achieve our mission by working closely with faculty to design and deliver over 130 open enrollment and custom programs to over 13,000 participants annually, from over 130 countries. Open enrollment programs range from a few days to a few weeks over a period of months, while custom engagements largely help Fortune 1000 companies implement strategic changes and build organizational capabilities. Most programs are delivered on the HBS campus, where Executive Education has nine dedicated classrooms and more than 500 dedicated bedrooms in three executive residences. To meet the diverse needs of our community, our programming now includes in-person, virtual, and blended options. The Executive Education department consists of open enrollment, global, and custom program portfolio management; guest services; marketing; corporate sales; program operations; technology services; enrollment and admissions; and finance.
Position Description
Responsibilities include:
- excellent customer service skill while providing a range of services (concierge- and maintenance-type requests) to an internationally-diverse group of executives;
- coordinating program office space, supplies, and services for programs and program teams;
- working with internal operations staff to ensure that the program facilities are maintained to the highest standards;
- acting as a liaison with outside vendors to provide services to program participants;
- assisting with specific projects as needed
There is an expectation to assist with special projects within Program Delivery, Information Technology (IT), MBA Services, etc.
This role is also responsible for other duties as assigned.
Basic Qualifications
- High school diploma, GED, or equivalent required.
- Education beyond high school may count toward experience.
- 3+ years of related experience required
- Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

- This position requires a team player with a willingness and ability to work with multiple groups within Executive Education and across campus in a fast-paced, high-energy environment.
- The Guest Services Coordinator must have excellent customer service, organization, and event management skills.
- Successful candidates will be highly motivated, organized, and able to juggle multiple priorities, take initiative and work in a team approach.
- Must be flexible, energetic, diplomatic and detail oriented.
Working Conditions
- Ability to work extended overtime hours (including some evenings and weekends) is a must.
Additional Information
This is a 40 hours/week, overtime-eligible position. This role requires that you are onsite at our Boston, MA based campus as the role is not eligible for remote and/or hybrid work.
