Job Description



OR Materials Mgmt Coordinator As-Needed

The OR Materials Management Coordinator reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.

The OR Materials Management Coordinator manages, assists and coordinates the purchasing, receiving, shipping, inventory and distribution of surgical services supplies and equipment. This position will manage the Master list containing items used in Surgical Services and will be responsible for working in conjunction with the Materials Management Supervisor for item recalls. The OR Materials Management Coordinator will assist in supply ordering process and supply contracting, playing the role of a main contact person for interactions with supply distributors/representatives. 

This position will complete the purchasing process after agreements and contracts are negotiated by the Purchasing Manager or Director of Materials Management. Responsibilities will also involve interacting with the KHS Revenue Cycle by inputting patient charge information into the Meditech program. The OR Materials Management Coordinator proactively manages back-orders and provides follow up communication with vendors and requesting departments. 

Responsibilities:

  • Summary:
    • Responsible for product recall process from identifying affected products, contacting using departments, and their collection for return to the vendor
    • Manages Surgical supply ordering process
    • Maintain MSDS process with Manager of Materials Management support
    • Maintains item master with current information by making changes and updating information.
    • Meets with sales representatives to identify, negotiate, and implement commodity product cost savings
    • Runs reports to identify and resolve open and backorder issues.
    • Inputs patient charge data in to Meditech
    • Acts as the main contact person from Surgical Services to interact with supply distributors
    • Serves as a member of the Value Analysis team
    • Other duties as assigned by the purchasing manager or Director of Surgical Services.
    • Initiates and coordinates effective communication with Physician and/or Physician office staff
    • Prioritizes the care needs for patients by demonstrating abilities to readjust priorities in changing patient status or unit activity needs.
  • Implementation:
    • Applies standards of care in the provision of safe patient care, with consideration given to normal characteristics of growth and development, consulting with team and clinical development coordinator as needed. Current and follows OSHA standards according to guidelines and policies/procedures.
    • Appropriate age-specific interventions are identified, implemented, and implemented in a safe and timely manner.
    • Anticipates patient needs and coordinates patient care activities with other hospital departments, healthcare providers, and agencies in the community.
    • Ensure Sales representatives are following the standards of Kishwaukee Health Systems.
    • Coordinates Cycle counts and Annual Inventory
    • Evaluates and takes appropriate action for new supplies
    • Assist with the development with the annual and capital budget monitors it monthly and assists in appropriate corrective actions.
    • Leadership:
    • Consistently uses effective verbal and non-verbal communication skills evidenced by clear, concise, objective, accurate, and timely messages 
    • Understands formal committee structure of department/organization and opportunities available to participate in decision making process in the hospital
    • Views change as an opportunity for professional growth and enhanced patient care; understands and promotes rationale for change, attends new product in-services, and complies with new policies/procedures
    • Identifies and utilizes resources available within the hospital and community by collaborating with other healthcare team members.
    • Supports unit leadership in implementation of new programs or ideas. Demonstrates support by objective participation in and evaluation of change
    • Independently accesses unit/hospital/department resources by referencing policies, procedures, and guidelines, as necessary to maintain standards’ of care
    • Serves as a positive role model to students, orientees, agency staff, answers questions and provides resources in a professional manner
    • Participates in the identification of own learning needs and sets goals for professional development by seeking appropriate consultation, formal education, or resources as needed to meet identified goals.
    • Provides input for the development of unit goals and objectives and assists with implementing unit goals and objectives
    • Completes all unit-based skill competencies during the designated time frame
    • Objectively completes self-evaluation within assigned time frame; provides objective timely peer review input as requested
    • Demonstrates an overall understanding of the changes in the healthcare market both locally and nationally.
  • Continuous Quality Improvement & Risk Management:
    • Maintains knowledge of ongoing unit and hospital based performance Improvement initiatives and results by attending 75% of unit meeting annually and signing off on 100% of minutes
    • Participates in PI activities
    • Maintains safe and clean environment following hospital safety and infection control policies/procedures
    • Encourages care providers’ compliance with safety and infection control policies/procedures: clarifies policies/procedures as needed
    • Completes Safety Reports in a timely manner when required per Safety Reports Policy and Procedure guidelines
    • Communicates ideas for process improvement on the unit
    • Reviews newly developed or changes in existing policies/procedures and modified practice accordingly.

Qualifications



Required:

  • High School Diploma or equivalent
  • Three years of experience in the operating room
  • Strong customer service and communication (both verbal and written); Able to professionally interact with patients, staff, and hospital leadership
  • Computer Literacy
  • Working knowledge of business management principles and practice
  • Working knowledge of purchasing and inventory management principles
  • Working knowledge of management and supervision

Preferred:

  • Associate's degree
