Position Description – Patient Medical Records Technician

 

 

Department: Patient Relations

Reports to: Patient Relations Supervisor

Supervises: N/A

Effective Date: 1/30/2023

 

Position Summary:

The candidate for this position will function as a member of the patient relations team under the direction and supervision of the Patient Relations Supervisor for Telluride Regional Medical Center.  The incumbent will be responsible for organizing and managing the medical records, tracking, and completing worker’s compensation processes, handling various eClinicalWorks portal communications from patients, and in some emergent cases function as a patient relations specialist.  This role will work directly with the medical staff, department managers, and third-party vendors to insure appropriate input, storage, transmission, and protection of patient information within the Telluride Medical Center electronic medical record.  The incumbent will also be responsible for working with worker’s compensation agencies to insure the completion of work comp cases. Finally, the incumbent will be responsible for developing and updating all policies and procedures necessary to carry out the stated functions of this position that will ensure compliance with all national and state laws and health agency credentialing standards specifically dealing with healthcare informatics, patient privacy, access to patient data, and rights to patient information.

Essential Duties and Responsibilities:

  1. Medical Records
    1. Develop and maintain standard operating procedures for the electronic medical record system.
    2. Develop and maintain an electronic medical record data security protocol based on HIPAA guidelines.
    3. Evaluate, track and document medical record coding variances and corrections.
    4. Plan, implement and supervise copying of hardcopy medical records into the current electronic medical record format.
    5. Establish a medical record archival and retrieval system with supporting documentation.
  2. Worker’s Compensation
    1. Track patient progress through the work comp claim process.
    2. Coordinate with other agencies to track patient progress through workman’s compensation claims.
    3. Assist with collection of work comp documentation by communicating with internal staff.
  3. Patient Assistance/Registration
    1. Develop and maintain standard operating procedures for the patient medical records requests.
    2. Work with scan stat to ensure timely processing of medical records requests.
    3. Maintain expert levels of competence in and application of the ECW patient registration and electronic medical records system.
    4. Assist in patient registration at check in when needed.
    5. Help answer patient phone calls when needed.

Qualifications:

  1. Undergraduate degree or certification in HIPPA records management
  2. Experience working in primary care, urgent care/trauma setting.
  3. Experience in patient registration
  4. Experience with medical records and health information documentation
  5. Demonstrated experience in documentation and record keeping.
  6. Writing, proofing reading skills
  7. Word processing and report production skills
  8. Capacity to develop standard operational procedures (policies and procedures) necessary for the functional areas of medical records and patient case management.

Fast-paced environment with frequent inflexible deadlines and frequent interruptions
Physical stamina to sit or stand for long periods of time
Occasional lifting of <15 pounds

This is a non-exempt position. The position reports to the Patient Relations Supervisor. The employee must exhibit the ability to remain positive and focused on a fast-paced environment is essential. Willingness to work with various personality types to reach consensus in order to optimize service provided to both the patient and other departments.

Pay range for this position is $21-25/hour.
