Job Description - Transition Coordinator

MDVIP, based in Boca Raton, FL is seeking a Transition Coordinator who will support the Implementation team’s transition process for physicians who are transitioning into the MDVIP affiliated-physician network. This role coordinates timelines, resources, and communication with stakeholders of process changes throughout the transition period. It also serves as the liaison between other corporate departments whose responsibilities also support the transition.

This is a corporate based role, however a hybrid corporate office and work from home schedule may be available based on position and departmental needs.

 

The qualified candidate easily develops strong connections with physician/staff, can present information to small groups, and performs well in a fast-paced, highly structured, yet team-oriented environment. 

  • Host physician training visits and present the MDVIP transition process to prospective/new affiliates. Participate in physician kick-off calls with the transition, sales, and contact center teams and leadership.
  • In collaboration with leaders, conceptualize action plans to support potential issues and assess individual practice needs to create customized transition enhancement programs. Identify and communicate urgent issues to management to be promptly addressed.
  • Serve as liaison between the physician, their staff, Field Support Teams and MDVIP corporate departments to facilitate a smooth, successful transition.
  • Communicate clear and concise instructions and deadlines to physicians during their transition while developing their confidence and establishing their trust.
  • Manage multiple transition responsibilities, such as ensuring the physician’s approval for all transition materials, organize mailings, and coordinate the creation of the physician’s personal MDVIP website.
  • Performs various duties within Salesforce (CRM) to assist with the transition. Create event campaigns, document physician specific notes and coordinate the data cleansing process.
  • Negotiate, review and sign contract for venues, and secures and finalizes BEO for setup, F&B and A/V. Obtain receipts and track budget to provide monthly report.
  • Organize transition and membership mailings to ensure timeliness and accuracy.
  • Ensure all necessary components are in place for practice opening day.

Education / Experience / Knowledge :

Associate degree or higher and at least two year’s account management or project management; or equivalent combination of education and experience where one year of schooling equals two years of related experience. 

  • Quick learner and detail oriented
  • Knowledge of event coordination and contract negotiation with hotels and convention centers
  • Excellent written and verbal communication skills; Small group presentation skills a plus
  • Superior organizational skills with the ability to prioritize multiple tasks, projects, and assignments in a fast-paced, highly pressurized, rapidly expanding dynamic corporate environment
  • Achieving deadlines with excellent precision
  • Ability to identify, handle and resolve problems creatively while being driven by a desire for continuous improvement
  • Self-motivated with the ability to work independently with little or no direct supervision
  • Outstanding interpersonal skills and ability to work effectively in a customer service-oriented team environment

Computer Proficiency:

Proficient in Microsoft Office applications. Able to learn new software easily. Publisher, MapPoint, and CRM experience a plus but not required.

 

Corporate based roles: As a corporate based role in Boca Raton, FL employees are expected to work from the corporate office. Hybrid corporate office and work from home schedule may be available based on position and departmental needs.
