Job Summary The Academic Planning (AP) Coordinator oversees the development and creation of each semester's schedule of classes and performs complex analysis and reporting functions with institution-wide effect on FTE projection and forecasting. The AP Coordinator holds primary responsibility for academic scheduling and actively balances the needs of a wide range of university constituents to ensure that academic functions, including lecture and lab courses, remediating and skills labs, and other academic obligations are scheduled in suitable venues to provide the appropriate student learning environment and maximize university resources. This position is responsible for utilizing the student information system (SIS) and other software to collect, visualize, interpret, and report on scheduling and enrollment data. This position provides consultative support and training to schedule entry system users to enhance the accuracy of the class schedule. The AP Coordinator Provides final schedule review for accuracy and efficiency before publication and registration. Responsibilities
  • Create, maintain, and revise schedules for all academic programs based on cohort size, curriculum sequence, space requirements and availability, and other factors
  • Independently organize and perform complex technical data management duties in the student information system (i.e. Banner)
  • Create and maintain course, section, faculty, and space inventory files for registration, for required enrollment management and reporting functions, and for audits
  • Directly and independently work with academic schedule coordinators in the development and modification of course and section scheduling
  • Act as primary point of contact and liaison with academic schedule coordinators on a range of complex scheduling, operational, and administrative issues related to academic course offerings
  • Establish and implement workflow patterns and operating standards to accommodate department course/section scheduling requirements and requests
  • Coordinate data entry and proof schedules in automated scheduling and/or registration systems
  • Prepare and coordinate the schedule timeline for completion and publication of the online schedule of classes; work closely with the Registrar on changes to academic curriculum, and upload of online schedules
  • Work in conjunction with the Advising Center, Office of the Registrar, and other offices that support student class registration in accomplishing scheduling related tasks
  • Evaluate course needs based on student educational plans and identify gaps in course offerings in the schedule
  • Evaluate available time/space for optimizing course offerings and areas where the schedule impacts student progress
  • Maintain current knowledge about master course data from the catalog
  • Continually assess the process for schedule development, and develop and implement new procedures to streamline scheduling, with input from college deans, program directors, facilities, and other relevant university constituents.
  • Ensure the academic schedule is accurately represented in relevant university systems
  • Proactively audit the academic schedule to identify inconsistencies and/or conflicts and develop solutions
  • Serve as the primary contact for university scheduling, answering questions and providing appropriate solutions with discernment and a high level of customer service.

Required Qualifications

Bachelor’s Degree

Two years work experience in a related environment

Preferred Qualifications

Master’s Degree

Proposed Salary

Salary range is from $43,000 to $49,000
