Job Description - Assistant Registrar for Records and Registration

General Summary: 

The Assistant Registrar for Records and Registration will work to coordinate the daily operations of registration services and academic records within the Registrar’s Office.  The incumbent will coordinate and oversee registration processes including guest/non-matriculated student, non-credit, and special programs to ensure the timely and accurate processing of information; will serve as the primary liaison to selected academic programs, divisions, and university partnership programs in order to develop tailored and coordinated registration processes.  They will also work with other university offices in the development of targeted information and instructional materials and communication systems for special programs.  The assistant registrar will also oversee the records department within the office. They will be responsible for making sure that all grades, transcripts and verifications are completed in a timely and accurate fashion. This position is responsible for ensuring students can successfully enroll and access their information and for the accuracy of their student records. This position will assist with developing, implementing and maintaining of the policies, procedures and processes for student enrollment activities and the office of the registrar.

Examples of Duties: 

  • Coordinate and oversee registration processes including UITS functions examples including term activation, student registration appointment dates, grade rosters.
  • Coordinate and oversee the grading process including processing of incompletes, NA grades and early alerts.
  • Coordinate and oversee guest student registration processes including online onboarding, course request reviews, prerequisite assessment and registration.
  • Coordinate and oversee with other academic offices the academic standing process.
  • Coordinate and oversee guest student registration with Academic and Career Engagement and Success Center (ACES).  Ensure guest students are aware and in compliance with university policies and procedures. 
  • Develop and sustain appropriate support systems for non-credit and special programs and initiatives; ensure compliance with university policies and procedures; develop and maintain systems for tracking and monitoring student enrollment application status. Specific programs include but are not limited to: Specific programs include: Dual Enrollment, Pathway, Early College, Reverse Transfer, Exchange programs.
  • Coordinate and oversee the records and grade area of the registrar’s office to ensure the accuracy of the grading process and student enrollment verification process.
  • Responsible for maintaining and overseeing Registrar email and phone schedules.
  • Serve as primary liaison to selected academic programs, departments, divisions, and university partnerships in order to develop tailored registration processes.
  • Provide training and supervision of staff in the Registrar’s Office in processing registrations for special programs and initiatives.
  • Work with the Office of Graduate Studies and graduate programs on registrar related appeals.
  • Serve on University or system wide committees and workgroups as appropriate
  • Enforce established policy and make recommendations for policy changes when appropriate.
  • Serve on ad hoc and/or high-level committees to represent the Office of the Registrar and strengthen communication between various campus constituencies.

Qualifications: 

Bachelor’s Degree and at least five years of experience working within a college or university’s Registrar’s system is required.  High level of experience with complex integrated data systems and data management required.   Demonstrated experience with People Soft preferred.

  • Ability to manage, manipulate and format data for import and export between disparate systems.
  • Ability to negotiate complex processes.
  • Ability to work under pressure, with minimal supervision and to take initiative.
  • Ability to supervise the work performed by others.
  • Ability to identify issues and problems and make technical corrections as necessary.
  • Familiarity with FERPA and data security best practices.
  • Excellent oral and written communication skills.

  • Strong analytical and problem-solving skills.
  • Strong commitment to customer service.
