Objective:

Working under general direction, provide administrative and financial expertise within the office of the dean, including the development team, computing, and marketing for the School of Engineering (CSE). Additionally, the department assistant has responsibilities related to the CSE strategic hiring initiative (ESHI) that is nearing completion. The department assistant will demonstrate proactive management of the office and serve directors as needed that report to the office of the dean. The department assistant will establish and maintain a relationship with key leaders in the ESHI as well as administration (in particular, the office of the president), faculty and staff throughout the community to facilitate the regular communication with these constituencies.

Essential Functions:

  1. Support the administrative tasks of the office of the dean, including all associate deans as prioritized given the financial and strategic hiring initiative calendar of the CSE. Processes complex and highly confidential information.

  2. Provide technical support to the directors within the office of the dean to complete accurately and timely forecasts. This includes actual completion of the information technology and development forecasts.

  3. Administer all aspects of the office including reception, appointments, telephone contacts, correspondence, travel, itineraries, file maintenance, financial transactions (organization of reimbursements for ESHI related expenses), etc.

  4. Screen in purchases via system resources to maintain compliance for the IT department in school purchases of computer hardware and software.

  5. Intake of all applications to ESHI including and necessary response to applicants, manage organization of all related documentation and maintain and update ESHI website.

  6. Interface with Diversity office and central administration on a regular basis. Relay information on sensitive matters to constituents, external or within the university

  7. Work closely with the CSE HR director to assure compliance and timely submission in the hiring process.

  8. Develop a knowledge base on the university and specifically CSE hiring process to assist the ESHI and CSE departments in ensuring smooth, seamless, and professional procedures in the hiring of junior and senior level faculty.

  9. May supervise the work of office staff in day-to-day activities.

Nonessential Functions:

  1. Offer administrative expertise on various projects in support of the office of the dean.

  2. Perform new employee training.

  3. Facilitate dealing with others in the university relative to coordinating workflow.

  4. Perform other duties as assigned.

Required Skills:

  1. Must be a self-starter and have a keen sense of the mission of the school and the ESHI with ability to critically analyze problems and independently generate creative solutions.

  2. Excellent oral and written communication skills required.

  3. High level of judgment, maturity, professionalism, and discretion.

  4. Works proactively with a high degree of independence and confidentiality.

  5. Must be a self-starter and capable of handling multiple tasks.

  6. Well organized, creative, flexible, and highly motivated personality.

  7. Ability to assess situations and communicate requirements needed for timely resolution of issues.

  8. Ability to collect, organize and synthesize information in a cohesive and concise manner.

  9. Excellent interpersonal skills, including demonstrated ability to interact effectively with senior- level professionals within the university, as well as external constituencies including medical, academic, and corporate professionals.

  10. Ability to use all nominal office equipment.

  11. Desire for personal and professional growth and development and maturity to take responsibility for this in concert with management.

  12. Knowledge of computer systems needed to maximize the value of information systems developed and used by the university.

  13. Proficient in Microsoft Office and willingness to learn new technologies as needed.

This job might be an outstanding fit if you:

  • High school education required. Bachelor’s degree strongly preferred.

  • 6 years of related administrative experience required.
