Job Description - Human Resources Operations Onboarding Assistant

Human Resources Operations Onboarding Assistant Location Hybrid remote in Boston, MA :

The Executive Office of Health and Human Services seeks a Human Resources Onboarding Specialist to join the HR Operations/Onboarding team. We are seeking an individual with an excellent eye for detail who is not afraid of rolling up their sleeves to manage complex administrative requests. Supporting a busy HR Operations Onboarding team, the HR Onboarding Specialist will be responsible for maintaining spreadsheets and databases, facilitating the collection of new hire/onboarding paperwork, uploading new hire documentation into a digital filing system, and responding to routine customer service inquiries.

Duties and Responsibilities (these duties are a general summary and not all-inclusive):

  • Provide administrative support to assigned units.
  • Completes routine compliance audits and documents findings.
  • Conducts assigned research and outreach.
  • Uses computer software or databases to prepare reports and compile data.
  • Creates and maintains database and spreadsheet files.
  • Responds to Customer Service inquiries and provides information to internal and external contacts.
  • Facilitates the collection of new hire/onboarding paperwork.
  • Responsible for outreach to new hires to ensure completion of missing documentation.
  • Responsible for the organization and upkeep of new hire documents and uploading into electronic filing systems.
  • Performs other administrative duties as assigned.

Required Qualifications:

  • Excellent interpersonal and communication skills with the aptitude to work independently and collaborate with multiple staff.
  • Excellent written and oral communication skills.
  • Demonstrated ability to write clearly and concisely, express thoughts clearly, develop ideas logically, and assemble information items per established
  • Knowledge of software applications such as desktop publishing, project management, spreadsheets, and database management.
  • Ability to work independently and in teams.
  • Based on assignment, the ability to supervise and assign work effectively.
  • Exceptional organizational skills with the ability to manage competing requests. Proficient usage of Microsoft Office products, including Word, Access, Outlook, Excel, and PowerPoint.

Preferred Qualifications:

  • Knowledge of the laws, rules, regulations, policies, procedures, specifications, standards, and guidelines governing assigned agency or unit activities.
  • Knowledge of the types and uses of agency databases, documents, and files.
  • Knowledge of state laws, procedures, and guidelines.

Qualifications

First consideration will be given to those applicants that apply within the first 14 days. Minimum Entrance requirements: Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed. Educational substitutions will only be permitted for a maximum of two years of the required experience.
