ORGANIZATIONAL SUMMARY: Child & Family Studies (CFS) is one of seven departments and schools within
the College of Behavioral & Community Sciences (CBCS) at the University of South Florida (USF). Organized into three research divisions and
four academic programs that work synergistically, CFS currently has approximately 275 faculty and staff members. During FY23, CFS is
managing a portfolio of over 75 federal and non-federal contracts and grants totaling $78 million. Our research divisions include the
Florida Center for Inclusive Communities (FCIC), Child and Family Behavioral Health (CFBH), and the Rightpath Research and Innovation
Center. CFS's four academic programs are Applied Behavior Analysis (ABA), Child and Adolescent Behavioral Health (CABH), Clinical
Rehabilitation and Mental Health Counseling (CRMHC), and Marriage and Family Therapy (MFT). Six graduate certificates and one undergraduate
certificate are also offered. CFS efforts are consistent with the CBCS mission of combining knowledge gained through the behavioral
sciences with knowledge gained from the community. CFS faculty, staff, and students, who are well immersed in the local community as well as
state and national efforts, are deeply connected to the college's focus of Creating Healthy Communities. All activities within CFS are also

POSITION SUMMARY:
The Florida HIPPY Training and Technical Assistance Center (T&TAC) is housed in FCIC. The T&TAC works in collaboration with
HIPPY US to fund, license, train, support, and evaluate HIPPY Programs in Florida. Currently, the T&TAC is staffed by a State Director, an
Associate State Director, an Assistant Fiscal and Business Manager, Project Coordinator, Fiscal Administrator, Data Analyst, Senior
Researcher, and two Learning and Development Facilitators. This position supports the work of the Florida HIPPY T&TAC. Daily
responsibilities include managing the T&TAC calendar, online files, team meeting notes, and team communication; monitoring team calls,
chats, and help desk tickets; posting on social media and responding to incoming requests for information. Weekly or monthly
responsibilities include compiling eblasts to the field; preparing materials for trainings and professional development; assisting in event
planning and related logistical tasks, travel coordination, purchase orders, packing training materials and sending those through the campus
USPS office or FedEx. Occasionally this position will be asked to inventory curriculum and supplies; conduct research, run reports, organize
information in tables or graphs; records and reports management, compliance review, scanning and shredding documents, or assisting with
other general office tasks.
RESPONSIBILITIES: Sending and receiving correspondence, tracking and
troubleshooting reported issues and challenges. Provides information, assistance, and services to clients contacting the office, answering
inquiries independently or ensuring that such inquiries are forwarded to the appropriate source and responses are received by the inquirer
in a timely manner. Assists in the dissemination of general statewide forms of communication such as the e-Blasts and social media
posts. Manages team calendar, schedules meetings, sends reminders and agendas, takes and disseminates meeting notes. Handles mail and
deliveries to and from the T&TAC, preparing training materials, campus USPS office or FedEx orders, etc. Provides support in preparing
training materials and securing logistics for special events. Team Files and Process Manual. Under direction of leadership, the AA
will spend a portion of time dedicated to organizing the T&TAC box folders and documenting internal processes are top priorities. All
members of the team must provide the content, but the admin asst. will track, name, file, and update the team on progress throughout the
year. Supports the team as needed: invoices, purchase orders, eligibility reviews, cost estimates for team or statewide events,
organizing materials and logistics for events, prepare TARs and pcard purchase forms, data entry, HIPPY portal maintenance, report
management, drafting flyers, etc. Performs other duties as assigned.
POSITION QUALIFICATIONS: MINIMUM:
This position requires a high school diploma and four years of related experience. Appropriate college coursework may substitute at
an equivalent rate for the required experience.
PREFERRED: Associates Degree and experiences in Early Childhood
Education or Family Services or Human Services or Program Management; Bilingual in English and Spanish is a plus
SPECIAL
SKILLS/TRAINING: Requires strong communication skills, ability to work autonomously in a fast-paced environment, ability to problem
solve, knows Microsoft Office Suite and Adobe.
