We are currently seeking a highly organized and proactive Executive Assistant to support our dynamic team at a leading CPA firm located in the vibrant heart of Midtown Atlanta. The role offers a flexible hybrid remote work arrangement tailored to balance onsite and remote working effectively. Key Responsibilities: Efficiently process a high volume of tax returns, extensions, and estimates using multiple delivery methods (e.g., paper, electronic, client portals). Draft, revise, and format important correspondence and presentations. Oversee the distribution of tax organizers and engagement letters annually. Maintain and manage crucial due date reports for team members, ensuring deadlines are met with accuracy. Organize and manage calendars, schedule internal and external meetings, and coordinate meals for meetings as necessary. Serve as a project manager, delegating tasks and ensuring their completion. Provide comprehensive administrative support as needed by team members. Keep client contact information up-to-date across all systems. Handle expense reporting and time entries for Principals. Follow up on overdue accounts receivable and coordinate with the accounting team as necessary. Manage billing processes for Principals. Coordinate detailed travel arrangements for training, client meetings, and other business needs. Develop and maintain professional relationships with clients and colleagues. Engage in additional responsibilities and cross-functional duties as opportunities arise. Employ creative problem-solving skills and maintain confidentiality with sensitive information. Required Skills and Qualifications: A minimum of five years of experience as an Executive Assistant, preferably within a large organization or department. Exceptional organizational and time management skills. Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint). Familiarity with industry-specific software such as CCH ProSystem fx, Practice Engine, iChannel, XCM Workflow, and ShareFile is highly desirable. Ability to communicate effectively and confidently with staff at all levels. Demonstrated ability to handle a fast-paced and time-sensitive work environment.
