Job Description - Service center coordinator / assistant office manager

Full job description

Position: Full Time / Salaried / Exempt

Supervisor: Director, Clarksville Region

SUMMARY: Along with primary duties as Service Center Coordinator, the Assistant Office Manager works closely with the Director and is responsible to provide customer services, administrative, reconciliation, and/or clerical duties to increase the overall efficiency of the Clarksville office. In the absence of the Director, the Assistant Office Manager will oversee the duties and responsibilities of all employees.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Service Center:

1. Oversees organizational processes and procedures for:

· Interaction for scheduled, non-scheduled, and virtual customers.

· Oversight of physical spaces to include exterior and lobby area.

· Intervention to ensure orderly, safe, and secure use of facility.

· Facilitating client services such as assisting clients with mail, clothing, nutrition, and hygiene items.

· Compilation and maintenance of social services directories.

· Data entry into various required databases.

2. Case Management and staff oversight:

· Provides a full range of social work/ case management activities with Veterans and their families: Intake and Assessment, Care Planning (develop, monitor, update and revise), Referral, Health and Wellness assessment, Liaison/Brokering, Education and Advocacy.

· Assesses and utilizes OSDTN program and/or partner funds for direct financial assistance resources to include rent/utility deposits, rent, utility, and other relevant housing expenses.

· Oversees data entry; assists with aggregate reporting for GPD monthly funding requests.

Supportive Services for Veteran Families (SSVF) Intakes:

1. Conducts preliminary screening for SSVF program eligibility which includes gathering and verifying all required personal and financial documentation and verifies for accuracy. Completes and obtains signatures for program agreement, HMIS release of information and consent for release. Reviews for SSVF eligibility and process to the SSVF Program Manager.

2. Stays current and proficient on all SSVF program guidance, required SSVF trainings, and participates in all SSVF meetings.

Assistant Office Manager Duties:

1. In the absence of the Director, oversees the office including planning, assigning, and directing work; addresses complaints and resolves problems.

2. With Director and specific program experts, coordinate efforts for compliance with grant requirements and agency processes.

3. Coordinates office daily operations to include maintaining inventory of office supplies, ordering, purchasing, scheduling and other administrative functions.

4. Assists Director with the management of the office budget.

5. Assists Director with coordination of employee’s PTO to ensure efficient office coverage.

6. Assists with development efforts and Heroes Breakfast under counsel of Chief Development Officer and Director.

SUPERVISORY RESPONSIBILITIES :

Supervises Veteran Assessment and Case Managers and SC Intake Coordinator. In the absence of the Director, oversees the office including planning, assigning, and directing work; addresses complaints and resolves problems.

QUALIFICATIONS :

BSW or bachelor’s degree in human services. Possesses valid, current Driver’s License. 3+ years of related experience in case management, community services, or human resources. MSW/MA in human services and one or more years’ experience in a clinical role preferred.

OTHER SKILL, ABILITIES, AND QUALIFICATIONS :

  • Veteran preferred.
  • Managing direct reports to include writing performance evaluations.
  • Excellent organizational, multi-tasking and time management skills.
  • Ability to motivate clients and staff toward success.
  • Compassionate, energetic and team focused.
  • Comfortable in individual, group, and public speaking environments.

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
