Perform receptionist duties in a positive, cheerful, professional, and enthusiastic manner. Assist with crowd management during the months with the highest intake of students.Provide a warm and welcoming environment to all incoming students and guests of the Academic Advising office. Assist students, both in person and over the phone, in scheduling appointments to see their advisors. Effectively manage and triage students and redirect them to other services as needed. Proactively notify advisors of demand of services. Refer students to campus resources. Access the A-Z index on the college website as well as the Advising website for information to provide students with quick answers to frequently asked questions.Hours for this position are afternoon/evenings Monday through Thursday from 10:30 AM – 7:00 PM, Friday from 8:00 AM-4:30 PM and may require Saturday hours 10:00 AM-2:00 PM twice per year during RUSH. Location for this position is primarily the Redwood campus but may vary depending on the needs of the department. Flexibility with work locations.Essential Responsibilities and Duties:
  • Assist future and continuing students in person or on the phone with information related to Academic Advising and credit/non-credit admissions and programs of study. User level ability to use student systems and on-line college resources to communicate and respond to inquiries.
  • Manage advisors’ schedules by scheduling their appointments with students and being aware of times advisors are out of the office.
  • Organize, maintain reception area, and update information on bulletin boards with current information.
  • Perform clerical duties such as typing, distributing mail, designing flyers, posters, notices, etc.
  • Gather and compile statistics from MySuccess on the number of students served.
  • Other duties as assigned.
Essential Responsibilities and Duties Continued: Minimum Qualifications:
  • High school diploma or equivalent.
  • One (1) year direct, paid, full-time work experience.
Preferred Qualifications: Two (2) or more years of direct, paid, full-time work experience.Previous work in a college setting.Bilingual (Spanish-English) a plus.Knowledge, Skills & Abilities: Dependable.Good listening, speaking and interpersonal skills.Exceptional customer service and proactive problem-solving skills.Knowledge of Microsoft Office Suite (strongly preferred).Use of multi-line phone system and related receptionist duties.Ability to work in a teamwork environment.Knowledge of basic college enrollment process for credit and non-credit programs.Knowledge of advisors’ program responsibilities.Work well under pressure.Cheerful disposition.Organize and prioritize tasks.Knowledge of college policies, procedures and programs.General understanding of office procedures.User level experience in computerized student records.Experience in conflict resolution and problem solving.Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.Non-Essential Responsibilities and Duties: Special Instructions: Please specify work experience as either full or part time and beginning and end dates by month/ year.Full consideration will be given to applicants who apply on or before the priority review date indicated above.
