We are seeking a dedicated and organized individual to join our team as an Administrative Specialist for the interventional radiology (IR) division faculty. This role will provide administrative assistance to a group of interventional radiology (IR) faculty and serve as the point of contact for the division. The ideal candidate should possess excellent communication skills, be detail-oriented, and have a strong ability to multitask effectively.

All the following in support of Interventional Radiology (IR) faculty:

  • Calendar management, meeting scheduling, review commitments, prior escalate high priority items, plan for near-term/future events, provide timely and accurate information about meeting participants and purposes, etc. Exercise a high level of discretion and independent judgment regarding calendaring priorities.
  • Manage correspondence and communication (verbal, written, and e-mail) including urgent/emergent issues or other concerns/complaints, requiring a high degree of confidentiality, discretion, and professionalism as well as using independent judgment to either assist in the resolution of the issue or involve the appropriate entity or person to bring about resolution and/or follow through in a timely manner.
  • Prepare written communication, record meeting minutes, manage document storage and retrieval, and handle confidential information. Proofread memos, letters of recommendation, emails, reports and other documents.
  • Responsible for scheduling faculty meetings, tracking national conferences, securing travel, accommodations, and tracking continuing medical education (CME) credits. Complete all related travel and expense reports and reimbursements for faculty.  Expense and account reconciliation.
  • Plan and prepare monthly and quarterly divisional meetings, partner with Division Chief to determine topics, create and communicate agendas, and set up virtual logistics for all participants. Actively participate and manage meeting notes, tasks, and follow-up accordingly.
  • Maintain CVs in Elements, ensuring information is accurate and formatting is according to medical school standards.
  • Track and renew dues, licenses, certifications.
  • Team Lead
  • Serve as team lead for the cardiothoracic and IR divisions, as well as off-site locations (East Ann Arbor and Brighton Center for Speciality Care), serving as the point of contact for time-off requests, daily inquiries, tracking supply ordering
  • Provide updates at weekly team meetings on off-sites locations and cardiothoracic/IR divisions
  • Division Event Planning
  • Coordinate division events (recognition events, annual IR gathering, holiday party, and town hall).
  • Bachelor's degree in Public Administration, Healthcare, Business or similar field, OR Associate's degree and two (2) years of directly related experience, OR prior experience in a senior level administrative support or project coordination job, with demonstrated ability to prioritize and multitask. 
  • Ability to exercise good judgment in handling complex, confidential matters.
  • Considerable proficiency with advanced business software and computer applications, such as Microsoft Office Suite, Acrobat, Google Drive, Dropbox, Zoom, and similar platforms.
  • Exceptional skills in verbal and written communication. 
  • Ability to work autonomously and manage competing priorities effectively. 
  • Proven experience working with multiple stakeholders at all levels. Ability to work effectively with diverse work styles and with individuals from diverse backgrounds.

Previous experience with entry-level leadership (e.g. chairing a committee, serving as a lead for a team, etc.)
