Overall Purpose and Objective of Position

The Execution Payables Analyst is a vital member of the Execution team responsible for all day-to-day validation and approval of execution invoices related to warehouse, transportation, equipment, accessorial, or other supply chain related charges. To be successful in this role, the candidate will apply analytical skills, business knowledge, and routine engagement with execution, accounting, logistics, and IT to resolve anomalies and suggest automation and improvement for better control and decreasing costs.

Primary Responsibilities/Essential Functions

  • Ingest a full understanding of the US cotton supply chain from receipt of cotton in the interior warehouse to arrival at final US destination to better reconcile, control, improve internal and external processing of charges, and enable seamless execution of invoices. 
  • Analyze all US storage and logistics invoice exceptions daily, minimizing manual input, system constraints and seek opportunities to constantly improve communications, visibility, and reduce inputs and requirements from execution and accounting teams. This requires:
    • Keen understanding of warehouse tariffs, warehouse, transportation, equipment accrual calculations, chassis, per diem, accessorial charges, system processes and timing of invoicing. 
    • Efficient analysis, attention to detail and sense of urgency with validation of new charges, new vendors, updated tariffs, comparison of system data and reports for supply chain costs.
    • Constant and strong communications with execution, accounting, external warehouses and carriers, management, and IT.
    • Seeking opportunities to constantly improve communications and automate processes in and out of the system.
  • Contribute to same day resolution, validation in inputs, changes, researching or collecting missing data, checking and resolving charge details with multiple teams, and settling bottlenecks with warehouses, carriers, or execution.
  • Monitor, update, and report bill back charges including but not limited to warehouse late fees, carrier liable charges, and per diem charges. Process debit notes, communicate with warehouse and carriers, and manage full payment of charges due.
  • Must consistently and regularly exercise discretion, independent judgment, and facilitate communications on abnormal charges or increasing costs and address options and concerns with internal and external parties.
  • Cross train in all aspects of Execution to serve as a backup to other teams as needed during peak season.
  • Act as liaison between execution teams, as needed, to ensure efficiency and accuracy of invoice processes as they affect other departments.
  • Perform all other duties as assigned by management.

Knowledge/Skills/Abilities (including any physical demands)

  • Strong communication skills and the ability to interact effectively with all levels of employees as well as outside parties to communicate expectations and make recommendations to facilitate change.
  • Must possess a high sense of urgency and strong bias for action in a high-pressure atmosphere and complete all requirements in a timely manner.
  • Must possess strong quantitative and qualitative analytical skills with history of applying varied approaches to analyze and solve business challenges.
  • Strong working knowledge of Microsoft Office and Windows, specifically Excel.
  • Must possess organizational skills with the ability to organize multiple responsibilities that require attention to detail.
  • Must be able to work independently as well as in a team environment. Must have good attendance.
  • Must maintain confidentiality of information received.

Experience

3-5 years’ experience directly managing day-to-day business transactions and/or processes.

Education/Professional Certifications/Licenses

Bachelor’s degree in Accounting or Business discipline preferred. Relevant and equal experience considered.
