Job Description - Assistant Provision Master

As an Assistant Provision Master for cruise ships, your primary responsibility is to support the Provision Master in managing the procurement and inventory of food, beverages, and other supplies needed on board the cruise ship. Your role involves a combination of administrative, logistical, and operational tasks to ensure the smooth functioning of the provision department. Here are some of the key duties and responsibilities associated with this position:

  1. Procurement: Assist in sourcing and purchasing supplies, including food items, beverages, cleaning products, and other consumables required for daily operations. This involves liaising with suppliers, obtaining quotes, placing orders, and maintaining accurate records of purchases.
  2. Inventory Management: Assist in managing the ship's inventory by monitoring stock levels, conducting regular stock takes, and reconciling discrepancies. Ensure proper storage, rotation, and organization of supplies to minimize wastage and maintain quality standards.
  3. Quality Control: Work closely with the Provision Master to ensure that all supplies meet the established quality standards and comply with relevant regulations. Perform regular inspections and quality checks to maintain high-quality products and reduce the risk of foodborne illnesses.
  4. Documentation and Reporting: Maintain accurate records of all procurement activities, including purchase orders, invoices, delivery receipts, and inventory reports. Generate reports and provide data analysis to support decision-making processes and identify areas for improvement.
  5. Team Coordination: Collaborate with other departments, such as the galley (kitchen) and hotel operations, to ensure efficient communication and coordination. Coordinate with the receiving team to ensure timely and accurate delivery of supplies.
  6. Budgeting and Cost Control: Assist in monitoring expenses and controlling costs within the provision department. This involves tracking expenditures, identifying cost-saving opportunities, and suggesting alternatives to optimize the procurement process.
  7. Health and Safety: Adhere to strict health and safety regulations, including proper handling and storage of perishable items, ensuring compliance with food safety standards, and participating in regular safety training and drills.
  8. Training and Supervision: Assist in training and supervising provision department staff, including storeroom clerks and other team members. Provide guidance and support to ensure efficient and effective operations.
