Job Description - Corporate Events Coordinator

Job Title: Corporate Events Coordinator
Location: Deerfield, IL or Chicago, IL (Hybrid – onsite 3 or more days per week. Can work out of either location but must be willing to go to both offices for events.)
Duration & Type: Initial 6-Month Contract with likely extensions up to 2 years

This is an initial 6-month contract with likely extensions up to 2 years. The Corporate Events Coordinator will support the corporate events team in planning and executing logistics for a variety of company meetings and events, such as CEO events, Executive Committee events, campus events, and town halls. Responsibilities include managing small to medium-sized projects, handling tactical logistics like project plans, event communications, registration management, and budget tracking, as well as producing event materials. The position requires collaboration with various teams within the company, and proficiency in event management tools and Microsoft Office applications.Ideal Candidate Profile
  • Must be willing to go to Chicago and Deerfield offices for events regardless of which office candidate will work out of.
  • Proficiency with the Cvent event management platform.
  • Strong organizational and detail-tracking skills to manage multiple projects with varying deadlines.
  • Intermediate-level skills in Microsoft Excel, PowerPoint, and Word for handling various event-related tasks.
What You Will Be Accountable For
  • Attend events in both Chicago and Deerfield, IL offices.
  • Assist corporate events team in planning, facilitating, and deploying the logistics and activities for meetings and events for the company to include CEO Events, Executive Committee Events, Campus Events and town halls. Manages small to medium projects or single projects of moderate complexity.
  • Assist in managing tactical logistics to include: project plans and timelines, weekly event planning call coordination, invitee list management, event communications/invites, event registration management (Cvent), hotel/venue details, ground transportation management, off-site dinners, event budget tracking, onsite event coordination and support, post-event survey tracking.
  • Assist in creation and production of event materials to include: signage, banner stands, name badges, tent cards, meeting agendas, and promotional items.
  • Collaborates with Executive Assistants, Corporate Affairs, Creative, IT and Security teams to execute company meetings.
What Qualifications You Need
  • Bachelor’s degree OR a High School diploma/GED with 3+ years of event planning experience.
  • Must be willing to go to Chicago and Deerfield offices for events regardless of which office candidate will work out of.
  • Experience prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.
  • Experience with Cvent event management platform highly preferred. Similar tools accepted.
  • Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
  • Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).
  • Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
