Job Description - Curriculum Project Coordinator

The Office of Medical Student Education seeks an experienced applicant to partner with faculty and staff directors in the administration of the Improving Healthcare Systems Course, the Clinical Trunk Spring Conference, and the Branches Residency Prep Courses.  The successful candidate will work directly with a core team to plan, coordinate, administer, and communicate the activities of the courses.

Provide administrative and faculty support to the Improving Healthcare Systems Course .  As lead administrator for the Health System Science and Leadership threads, partner with faculty to operationalize programs, including:

  • Plan and implement the Scientific Trunk Health System Sciences and Leadership sessions, Leadership 360 exercise and Branches Leadership electives
  • Manage schedules, acting as a liaison across Office of Medical Student Education and external stakeholders.
  • Assist with faculty small group recruitment.  Communicate session plan and materials to faculty members.
  • Facilitate team meetings and communication strategies.
  • Manage student assessment and grade information in the ARB software system, coordinating faculty finalization.  Monitor system procedures are in place to meet department and accreditation requirements.
  • Organize and oversee room reservations, attendance, technology set-up and materials for instructional sessions.
  • Create Canvas assignments and calendar events for sessions.

Provide administrative and faculty support to Clinical Trunk Phase . Collaborate with faculty and Program Manager to provide project management support for the Clinical Trunk Spring Conference and PBSI-I:

  • Manage logistics of scheduling, prework and remediation, communicating with faculty and staff leads.
  • Serve as primary point-of-contact for faculty, staff, and student questions and concerns.
  • Create and maintain master schedule, notifying students and faculty of events.
  • Organize and oversee room reservations, attendance, technology set-up and materials for instruction sessions.
  • Create update and populate associated Canvas websites.
  • Track and report student attendance and assignment completion.  Provide and track remediation completion.
  • Process, maintain, and track expenses, complete purchasing and honorariums.

Provide administrative and faculty support to Branches Phase .  Collaborate with faculty and Program Manager to provide project management support to assigned Residency Prep Course:

  • Manage course schedules, acting as liaison across Office of Medical Student Education and external stakeholders.
  • Collaborate with faculty and Program Manager to create, coordinate, and implement student seminars and educational events.
  • Develop and manage Canvas platform and DropBox resources, including calendars, assignments and evaluations.
  • Manage student assessment and grade information in the ARB software system, coordinating faculty finalization.  Monitor system procedures are in place to meet department and accreditation requirements.
  • Organize and oversee room reservations, attendance, technology set-up and materials for instructional sessions.

Curriculum Operations and Support.

  • Committee facilitation, including oversight of meeting minutes and distribution for assigned subcommittees.
  • Enter data to OASIS database, ensuring program objectives and keywords are accurately recorded.
  • Bachelor's Degree.
  • Two to four years of experience in health professions education or academic setting.
  • Polished organizational and problem-solving skills with an ability to manage competing priorities independently.
  • Adept at handling multiple needs from multiple people while meeting short- and long-term deadlines.
  • Proven ability to work with faculty, students, and staff. 
  • Experience using Microsoft, Google, and other applications/learning platforms such as Canvas and DropBox.
