Job Description - Director of the Office of the Head of School

Position Summary

Reporting to the Head of School, the Director manages the performance of the office and other key staff, offers direct support to the Head, the Board President, Committee chairs and the full Board of Trustees, serving as the primary point of contact for all internal and external matters pertaining to the Board relationship with the Office of the Head of School.  The Director is also responsible for oversight of Special Projects as assigned by the Head of School and for he management and oversight of the Communications Office, ensuring consistent messaging and effective operations in alignment with Landon School's mission and strategic vision.

Primary Responsibilities & Duties

Management of the Head of School’s Office and Administrative oversight:

  • Manage the day to day running of Heads office – including reception and scheduling functions of the Head of School’s office, and any personnel assigned thereto;
  • Provide leadership of and cohesion of other administrative assistants at the school;
  • Oversee the Head of School’s correspondence, reports, calendars, files, and archives; and serve as gatekeeper by screening meeting and call requests;
  • Help draft and review all correspondence to be sent by proxy in the Head of School’s name;
  • Run, assign, and/or oversee any special projects run by or underway in the Head of School’s Office;
  • Oversee credit card reconciliation, approve invoices, and review Governance budget reports for accuracy and budget alignment;
  • Serve as liaison and project manager with external educational association representatives, including, AISGW, NAIS, AIMS, etc., and oversee responses to their survey requests and inquiries, including ensuring Business Office completes annual data entry;
  • Ensure purchase of appropriate items needed to facilitate office and trustee work;
  • Help to track leave requests for Head of School direct reports’, after Head of School’s review;
  • Collaborate with Head of School and Admin Leadership Team to develop agendas for regular weekly Leadership Team meetings. Document, disseminate and follow up regarding decisions and actions items arising at Leadership Team meetings;
  • Coordinate recruitment searches for Head of School direct reports in collaboration with search firms and Human Resources.

Communications

  • Oversee efforts of Communications Office and personnel
  • Coordinate with Admissions and Development, as well as other areas of school to ensure brand consistent messaging and appropriate allocation of Communications office band width to appropriate areas of school life, based on time of year;
  • Work with Director of Communications to ensure appropriate brand marketing, data tracking, oversight of media and social media; and any survey efforts;
  • Provide guidance to Head of School regarding crisis communications efforts and needs, coordinating with related internal staff and external consultants;
  • Ensure school wide calendaring function is appropriately managed.

Special Projects

  • Support strategic planning processes, policy development, and problem resolution of complex issues;
  • Manage ongoing projects initiated by the Head connected to the strategic plan various areas of school life;
  • Support Head in the formulation and development of policies, procedures and programs and both recording and implementation thereof;
  • Advise the Head of unusual trends or problems and recommend appropriate corrective action;
  • Maintain regular communication and contact with the Head concerning events in and the overall operation of the school;
  • Serve as a member of the senior leadership team and meet with senior leadership regularly to support the implementation of school-wide initiatives and goals;
  • Represent the Head at meetings of staff and community groups, as requested;
  • Support ideas related to supporting and enhancing workplace culture and talent development;
  • Support and as needed lead institutional research efforts in conjunction with Communications office staff;
  • Manage various special events with other staff, especially those related to the Heads Office or those to take place in Head’s house.

Management of Board Operations:

  • Serve as assistant to Head of School, Board President, Committee chairs and other trustees on trustee matters, including sending correspondence on their behalf, drafting correspondence for their approval, surveying trustees, compiling agendas, organizing in-person and virtual meetings and other tasks as requested;
  • Manage, compile and organize Board reports, meeting materials, calendars, files, minutes, and archives; compile and organize research as requested by Head of School or Board President for generative Board discussions and other Committee purposes;
  • Review Head of School’s email inbox to identify trustee requests or issues related to trustees that require the Head’s attention, responding independently when possible, and forwarding to others when appropriate;
  • Document and help implement policy decisions and action items arising at Board of Trustee meetings;
  • Coordinate, compile and circulate minutes and other materials following the conclusion of Trustee meetings;
  • Help to maintain Board portal as repository of all Board related materials – keeping it current and retaining archived materials as well;
  • Maintain and update trustee committee lists, trustee directory, and trustee biographies and photographs.

Trustee and Trustee Meeting Support:

  • Design trustee programs, including planning, dining, social events, entertainment, IT support, and other logistics for trustees and families;
  • Help to support all trustee events and recognition as appropriate;
  • Attend Board Meetings, as invited, to monitor needs, take minutes, and provide support;
  • Research attributes and contributions of retiring trustees, and compose board resolutions to be read into the board minutes; arrange for purchase, engraving, and presentation of farewell gifts;
  • Maintain ongoing communications and positive relationships with trustees, their assistants and other related colleagues;
  • Create, organize and prioritize agendas and background materials for Leadership Team meetings and retreats that are focused on policy and school-wide initiatives, in consultation with the Head of School;
  • Identify responses to Head’s community letters that require review and action by the Head or Board President.

Collaboration & Networking Responsibilities:

  • Schedule and plan professional and social gatherings/meetings for trustees with visitors or otherwise and serve as interim host while guests are waiting;
  • Review external contracts for Board consultants, referring concerns to the attention of the Head, COO, or CFO;
  • Support any efforts to update the Bylaws in consultation with Executive Committee and Legal Counsel;
  • Consult with CFO, COO, Development Director, and Legal Counsel about any Board related matters as needed.
  • Develop and implement orientation programs for new trustees in collaboration with the Board President, the Chair of the Trustee & Governance Committee, and the Head of School;
  • Consult with Senior Leadership Team about trustee orientation materials related to their departments;

  • Qualified candidates must hold at least a Bachelor’s degree and must have 7-10 years of relevant experience supporting a high-level executive.
  • High level of computer proficiency; working knowledge of Office Suite, Adobe Acrobat Pro, and the ability to learn new technology platforms as needed.
  • Excellent organizational skills, a keen eye for detail, and the ability to manage competing priorities.
  • Professional demeanor and the ability to effectively collaborate with faculty, staff, and others in the community.
  • Demonstrated ability to maintain confidentiality and use discretion.
  • Ability and desire to always support the mission and goals of the school.
  • Ability to work evenings and weekends as necessary.
