Job Description - Executive Assistant II

Executive Assistant II (Hybrid) Location Hybrid remote in Baltimore, MD :

Resp & Qualifications

This Hybrid role will require the candidate to be in our Baltimore (Canton) Office approximately 3 days a week and occasionally in our Columbia, MD and DC office.

PURPOSE:

Responsible for coordinating and managing executive scheduling, preparing, and organizing executive materials, and assisting with internal and external meeting preparation. The role serves as the eyes and ears for the EVP, connecting organizational updates, projects, and critical business information to the EVP. It is essential that EA ensures the EVP, meetings, and materials are efficient and effective, acting as a trusted partner in delivering on business priorities. The EA for this dynamic role must be able to influence, demonstrate excellent time management skills, and the ability to anticipate the needs of the EVP. The EA must interact professionally with a diverse range of individuals including executive and senior management, the board of directors, and leaders reporting to the EVP as well as support staff throughout the organization. Must handle highly sensitive and confidential financial, legal, personnel, and institutional information with professionalism and discretion.

ESSENTIAL FUNCTIONS:

  • Scheduling: Maintains the Executive Vice Presidents work schedule and appointment schedule by planning and scheduling internal and external meetings, conferences calls, conferences, and travel. Assists the Executive Vice President with preparing for meetings by putting together agendas, executive level presentations, and reports. Establishes and maintains project tracking system to support the Executive Vice President in establishing priorities and meeting critical deliverables.
  • In-Person Support: Supports and assists with management of meetings. Assists Executive with in-person responsibilities at day of location (e.g. Baltimore, D.C., Columbia, etc.), and assists with meeting preparation and time management. Attends meetings as necessary and/or required; records action items and distributes as necessary.
  • Event Execution: Supports Planning and Execution of meetings and conferences sponsored by the executive, including on-site and off-site obligations. Responsibilities include support of all logistics and work with caterers, on or off-site attendees, facilities and events teams, handling printing, etc. leading to day of support and execution.
  • Admin Support (Expense Creation and Travel Arrangements): Coordinates all travel and reimbursement support for EVP and maintains reimbursement files for the budget. Provides historical reference by developing and maintaining an organized filing and retrieval system for paper and electronic documents.
  • Communications Support: Facilitates communication between Executive Vice President and direct reports, and other internal and external stakeholders including Board members. This includes creating an atmosphere in which timely and high-quality information flows smoothly both up and down the organization and encourages open expression of ideas and opinions. Screens emails, and dispatches emails on behalf of Executive and divisional leadership supporting time sensitive information sharing such as organizational changes.

QUALIFICATIONS:

Education: High School Diploma or GED.

Experience: 7 years experience supporting executive level management.

Knowledge, Skills and Abilities (KSAs):

  • Adept at learning new technologies to perform data entry, manage calendars, and create reports.
  • Proficient in Microsoft Office applications.
  • Strong time-management and organizational skills.
  • Excellent communication skills both written and verbal.

Salary Range: $59,040 - $108,240

This compensation range is specific and considers factors such as (but not limited to) the scope and responsibilites of the position, the candidate's work experience, education/training, internal peer equity, and market and business consideration. It is not typical for an individual to be hired at the top of the range, as compensation decisions depend on each case's facts and circumstances, including but not limited to experience, internal equity, and location.
