Job Description - Facilities Coordinator, College of Agriculture and Natural Resources

PAY GRADE: 30E

CONTEXT OF THE JOB:

The College of Agriculture and Natural Resources (CANR) at the University of Delaware is comprised of four academic departments, three county offices of Cooperative Extension, the Delaware Agricultural Experiment Station in Newark, and the Carvel Research and Education Center in southern Delaware. The College recently completed a renovation of Worrilow Hall which houses state-of-the-art teaching and research labs.  With 80 faculty, over 250 total employees, 1100 students, and 750+ acres of farmland and forests, the college has experienced recent growth and strategic change. It is distinguished nationally for its excellent academic programs, impactful Extension programs, and research contributions to genetics/genomics, climate change, human dimensions of agriculture, sustainable food systems and One Health.

Under the limited direction of the Agriculture Facilities and Planning Manager, the Facilities Coordinator manages the daily maintenance and logistical needs of the assigned building portfolio, including but not limited to Worrilow Hall, ensuring compliance with university, local, state, and federal policies.  We seek candidates who will incorporate diversity, equity, and inclusion into their work.  The Facilities Coordinator will interact with departments and units across the entire University including, but not limited to, Facilities Operations & Maintenance, Project Planning and Delivery, Custodial, and Environmental Health and Safety. The position provides support for building operations, resolves safety issues, manages space issues, and oversees equipment installations, repairs, and preventative maintenance.  The Facilities Coordinator monitors all building related and common equipment service contracts and interacts with faculty, scientists, staff, and students.  This position is considered essential personnel for building and campus emergencies.

MAJOR RESPONSIBILITIES:

Facilities Coordination, Safety, and Research Support

  • Develop and implement policies for use of common equipment and spaces.
  • Keep maintenance and project records and write reports as required.
  • Maintain key records, key distribution, and controlled access for the assigned building portfolio.
  • Manage and order supplies needed for common-use equipment.
  • Provide principal investigator (PI) support related to building issues and common spaces, including facilitating building modifications that are required for new equipment, laboratory, or classroom needs for the assigned building portfolio.
  • Serve on the college safety committee and attend the EHS Lab Building Managers Committee meetings. Work with EHS and department safety committees to ensure compliance with EHS safety regulations for lab and common-use areas in the assigned building portfolio, e.g., periodic autoclave log audit, lab safety inspections.
  • Ensure proper function of common research and building safety equipment; establish maintenance contracts where needed, contact the appropriate equipment engineers for repairs, and coordinate repairs as needed.
  • Advise, help with arrangements, and accept delivery into building of large equipment for PI’s in the assigned building portfolio.
  • Schedule and oversee maintenance and calibration for all common-use equipment, including drainage and maintenance of autoclaves, within assigned building portfolio.
  • Serve as primary contact for any common equipment failures and alarms within assigned building portfolio.
  • Ensure that common areas are cleaned/sanitized and kept in an orderly, safe, and efficient manner.
  • Maintain and control equipment inventories including tagging, documenting relocations, and transfers to other departments.
  • Conduct the Annual Equipment Inventory survey for the assigned portfolio.
  • Conduct a regular space survey for assigned portfolio and keep Facilities Management systems up to date.
  • Negotiate pricing and delivery for supply, service, and purchase agreements related to the assigned building portfolio.
  • Serve as a liaison between vendors and internal UD parties including but not limited to Maintenance & Operations, Project Planning and Delivery, Custodial, Environmental Health & Safety, PI’s, department chairs, and service vendors.
  • Continually assess, monitor, and ensure compliance with accessibility, sustainability, and health and wellness requirements of the assigned building portfolio.
  • Coordinate outdoor grounds needs of assigned portfolio.
  • Responsible for complying with university policies, procedures, and best practices regarding protecting data and following UD data governance rules.

QUALIFICATIONS:

  • Bachelor's degree in a related field and four years of job-related experience, or equivalent combination of education and experience.
  • Mechanical aptitude and technological competence with common research laboratory equipment including autoclaves, biological safety cabinets, fume hoods, CO2 incubators, and water purification systems.
  • Ability to follow oral and written instructions.
  • Ability to work effectively with faculty members and students.
  • Ability to communicate effectively and interact well with people of all ages and diverse backgrounds.
  • Ability to supervise and develop assigned staff including organizing, prioritizing, and scheduling work assignments.
  • Ability to create and maintain recordkeeping systems and procedures.
  • Ability to plan, organize, implement, evaluate, and modify research and teaching support needs as it relates to assigned building operations and use.
  • Ability to design and implement surveys and information-gathering tools.
  • Knowledge of cost analysis techniques.
  • Computing skills, including ability to use spreadsheets and database software, and web systems.
  • Ability to analyze budgetary expenditures.
  • Demonstrated understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures, and backgrounds.

Special Requirements:

  • With or without assistance, must be able to move up to 50 pounds. 
  • Requires a valid vehicle operator's license and occasional evening, weekend, and holiday working hours.

Environmental/Occupational Exposures:

  • Occasionally required to use personal protective equipment to prevent exposure to hazardous materials.
