Job Description - HSSP Program Assistant

The Health Science Scholars Program (HSSP) is a Michigan Learning Community (MLC) that provides a close and supportive community for approximately 120 first-year students interested in the health sciences. Our students take advantage of diverse opportunities through courses and programming to examine current health science issues and explore health science professions. We promote the engagement of health science faculty and practitioners with undergraduate students and encourage dialogue on the intersections of health science, health care, and society. Participation in HSSP allows students to develop a comprehensive understanding of the opportunities and challenges within the health sciences, connects students with valuable resources that help shape their pre-health journeys, and allows students to share perspectives and learn from one another in a supportive team-learning environment.

As the HSSP Program Assistant, you will manage a portfolio of important processes with a focus on accuracy and attentive support. Our office is a high-traffic student-focused environment and you will do work characterized by change and seasonal cycles while also managing student questions, email traffic, and phone calls. You will establish priorities for your work to meet the needs of students and staff and communicate with your supervisor frequently about process timelines and progress. You will ensure that HSSP scholars and staff receive attentive support, program processes are coordinated smoothly, teaching operations are well supported, and internal and external constituencies receive excellent customer service. You will report to the Director of Student and Community Development, but you will also support the entire HSSP leadership staff.

This role is hybrid, working four days in-office and one day remotely. At different times of year, you may be allowed to work additional days remotely based on the needs of the program.

Please Note: Some evening and weekend work is required.

Student Services (50%)

1. Observations

  • Coordinate Fall and Winter clinical observations in collaboration with Student Observations Assistants.
  • Conduct Fall observation orientation and Winter observation refresher during HSSP core course. 
  • Meet before each semester with the academic director to establish observation assignments, review policies/data collection, and discuss reporting needs with the teaching team.
  • Communicate and positively represent HSSP with University partners, busy medical professionals, and their support teams. 
  • Collaborate with the academic director to develop new observation hosts.
  • Manage the work of the Student Observations Assistant for mid-semester outreach/troubleshooting/rescheduling.
  • Collaborate with directors in the management of any software or services used to support the clinical observations management process. 

2. Student Engagement

  • Create a welcoming and supportive atmosphere in the HSSP office as the "first face" of the leadership team. 
  • Help steer students to the appropriate HSSP leadership team members or campus resources to meet their needs or help manage problems. 
  • Develop strong relationships with students and colleagues from diverse backgrounds.

Administrative Operations (35%)

1. Office Management

  • Hire, train, and manage all student staff working in the HSSP office including Student Media and Communications Assistant and Student Observations Assistant
  • Coordinate with LSA HR Shared Services to hire all temporary staff.
  • Manage all office temp position postings and hiring logistics
  • Purchase and manage office equipment including maintenance and computer upgrades.
  • Work with Student Office Assistants to manage office storage space.
  • Work with Student Media and Communications Assistant or Student Office Assistant to produce printed materials.

2. Event Logistics

  • Coordinate logistics, including room reservations, supply ordering, communication with invitees, and other event support tasks, to support HSSP programming efforts within necessary budget constraints. 
  • Assist the Coordinator of Pre-Professional Advising with the annual Health and Wellness Conference with support from student ambassadors, committees, and other student leadership.

3. Course support

  • Confirm room reservations for the HSSP mandatory core course's lecture, lab sections, and HSSP English 125 first-year writing courses.
  • Provide logistical and promotional support to the HSSP Academic Director for academic events throughout the year and delegate appropriate related responsibilities to Student Office Assistants.
  • Coordinate the Graduate Student Instructor hiring process including monitoring job postings, scheduling interviews, and coordinating with the human resources departments.

Recruitment and Admissions (15%)

1. Recruitment

  • Coordinate and attend school visits.
  • Hire student representatives to attend school visits.
  • Coordinate printed recruitment materials.
  • Collaborate with other MLC leadership to reach out to prospective students.

2. Campus Day Leader training and support

  • Hire, train, and manage Campus Day leaders.
  • Work with student committee members to staff morning campus day tables to ensure logistics, printed material, and staffing are in place.
  • Explain UM and HSSP policies to students, parents, faculty, and other University members.

3. Manage the First-year student application process.

  • Coordinate processes, manage decisions, and participate as a member of HSSP application review committee.
  • Deliver offers, coordinate contracts, and monitor students' progress through the process.
  • Manage summer student workers and temp staff hired to support the process.

4. Website and online presence

  • Oversee website and social media and communications specialist student staff. 
  • Coordinate summer communications to incoming students.
  • 2+ years of experience managing administrative tasks within web-based applications.
  • 1+ years of experience with basic data and database management.
  • Demonstrated experience managing detailed processes with accuracy.
  • Process and project management experience.
  • Flexibility to accommodate periods of increased workload based on rhythms of the academic year. 
  • Experience working with first-year undergraduate students and student services. .
  • Knowledge of College of LSA, University Housing, or Michigan Medicine.
  • Experience using Adobe Experience Manager, WordPress, and MPathways student-management systems.
  • Experience managing administrative tasks within an academic environment.
  • Experience managing basic website content.
  • Supervisory experience (preferably of student employees).
  • College degree preferred.
