Job Description - Logistics Supervisor

This position’s primary function is to supervise the daily operations of the dispatch, distribution and fleet maintenance for MHSvc of CI. Scheduling daily routes for the Medical Service Technicians (MST) to ensure timely delivery of medical equipment and supplies. Handling daily logistics for the 14 county service area to ensure customer and referral source needs are met. In addition maintaining the vehicle fleet program to ensure all vehicles are maintained and meet all regulatory requirements. Ensure all other regulatory entities are followed and maintained in regards to delivery of medical equipment and supplies, this would include The Joint Commission, Department of Transportation for vehicle requirements, etc. Embodies the Memorial Health System Performance Excellence Standards of Safety, Courtesy, Quality, and Efficiency that support our mission, vision and values.

Education:

  • Graduation from high school or the equivalency is required.

Licensure/Certification/Registry:

  • Must possess a valid Illinois Driver’s license and be deemed as an acceptable driver in accordance with the MHS Fleet Safety Policy (five year MVR will be required). Must be able to obtain a valid Illinois Class C license (Commercial Driver’s License with hazardous materials endorsement) as deemed necessary based on department need.

Experience:

  • Minimum 2-3 years of Medical Service Technician experience required.
  • Minimum 1-2 years of supervisory and/or demonstrated leadership experience is preferred.
  • Strong working knowledge of logistics and scheduling experience preferred.
  • Previous experience with durable medical equipment and supplies industry is preferred.

Other Knowledge/Skills/Abilities:

  • Possesses good oral communication, customer relations, and interpersonal skills.
  • Demonstrate a good working knowledge of personal computers and the associated applications, including Microsoft office applications. Experience with routing system software a plus.
  • Demonstrates excellent interpersonal, leadership, and training skills.
  • A strong mechanical and assemble aptitude is required.
  1. Supervise day to day operations of the MST’s, routing and distribution for timely deliveries to the home. Direct the daily operational activity of delivery personnel. Establish procedures to ensure efficient, timely deliveries, and customer satisfaction.

 

  1. Acts as a resource person, keeping Warehouse Manager advised of any problems in the specific areas.

 

  1. Receives and prioritizes work in the departments and makes work distribution assignments based on staff availability. This includes oversight for drop ship orders.

 

  1. Reply to all customer concerns and if necessary seek guidance from Warehouse Manager If unable to resolve issues to customer’s satisfaction.

  1. Manages staff schedules, approval of time off, and maintains all staff timecards adjustments.

 

  1. Maintain vehicle maintenance records, such as oil changes, repair scheduling, inspections, and supplies. Supervise cleaning and inspection of vehicles and follow all Department of Transportation (IDOT) regulations.

 

  1. Attend assigned meetings and leadership classes.

 

  1. Maintain daily mileage log (DSR) and log sheet activities for warehouse in compliance with the retention requirements per Memorial Health System policy.

 

  1. Review all paperwork for serial numbers, home safety assessments, Medicare forms, and Advanced Beneficiary Notices are completed when appropriate. Review GPS reports for productivity.

 

  1. Responsible for the ongoing review, development and implementation of policies and procedures affecting assigned area.

 

  1. Responsible for operational readiness for internal or external regulatory surveys this includes the Joint Commission, Department of Transportation and OSHA.

 

  1. Responsible for ensuring field staff are, documenting and tracking Oxygen safety measures in the home along with reporting any non-compliance issues.

 

  1. Actively participates in quality improvement projects to ensure that areas of responsibility are performing effectively and at benchmark levels.

 

  1. May perform any or all responsibilities within the Warehouse operations during staff shortages or as other business needs dictate.

 

  1. Provide Administrator on call support for Memorial Home Services of CI on a rotating basis.

 

  1. Develops and distributes a variety of statistical summaries and reports related to work volumes, units performance, and compliance with regulatory requirements. Monitors productivity for trends and reports to Director at regular intervals.

 

  1. Manages Staffing plans for business needs and fluctuations due to volumes or staff shortages Ensures that staff is crossed- trained in several areas of the warehouse functions. Reassigns staff to assist other warehouse departments when the need arises.

 

  1. Manages the human resources associated with these departments. Interviews Applicants and Makes the final decision on candidates for employment.

 

  1. Assess Employee performance and conducts performance evaluations and salary administration planning for staff. Counsels employees, documents inappropriate behavior and implements corrective actions.

 

  1. Plans and executes training plans for all employees under his scope of duties, defining expectations and ensuring consistency, safety, security, and compliance with all organizational and regulatory requirements. Monitors staff goals.

 

  1. Performs other related work as required or requested.
