Job Description - Manager operations

Partnership to End Addiction is a national non-profit organization dedicated to ending the addiction crisis. We understand addiction as a complex disease, demanding evidence-based, compassionate responses. This position will support the activities of the Partnership’s Development team and report to the Vice President of Donor Relations. The Manager will serve as a key member of the team and liaise with colleagues throughout the organization, providing the critical operational and administrative support that ensures every prospect and supporter of the Partnership experiences exceptional stewardship at every stage of engagement.

Responsibilities of the job include:

Donor Database Management

  • Support maintenance of CRM database and support Donor Relations needs with services such as:
  • Entering gifts
  • Adding, editing and managing records and actions
  • Generating acknowledgements and thank you letters in conjunction with other team members as needed
  • Retrieving and processing online donations from all fundraising platforms in use such as FundraiseUp, NeonOne, and others.
  • Creating and maintaining system protocols and usage requirements along with training staff on moves management systems

Donor Relations and Community Fundraising Support

  • Work with Vice President, Donor Relations and Director of Community Fundraising, as well as other staff as needed, to support implementation of bespoke major donor and community fundraising campaigns that incorporate best practices, from draft to execution (e.g. endurance events, funding proposals, etc.)
  • Basic knowledge of HTML and experience managing P2P fundraising platforms such as NeonOne.
  • Create and edit campaign donation forms & auto-responders
  • Track and report on these efforts, using analytics including, but not limited to, revenue and other KPIs
  • Respond to or appropriately direct donor inquiries through e-mail, phone or other means

Special Events Support

  • Support Vice President, Donor Relations; Chief of Staff; external agencies and consultants around annual Gala, as well as any other special events throughout the year
  • Serve as main point of contact for gala revenue reconciliation between Partnership to End Addiction and the contracted events team
  • Other pre and post event logistics as needed, including day-of support·

Reporting & Reconciliation

  • Maintenance and reporting of weekly financial reports
  • Track pledged/anticipated renewals/likely one-time gifts within Donor Relations pipelines with regular updates to CRM
  • Responsible for weekly, quarterly and annual revenue reconciliation with the Finance department; liaise between Development and Finance
  • Serve as Donor Relations and Community Fundraising point of contact for all CRM requests
  • Maintain records of key documents and efforts as they relate to current and prospective donors, funders/prospective funders; keep CRM up to date with relevant notes, documents, etc.

Digital

  • Work within HubSpot and all other fundraising platforms to provide back up support, troubleshooting, and assistance in new/ongoing projects
  • Provide support for various troubleshooting and testing

Provide general administrative support for the Donor Relations team as needed (managing invoices, contract approval process, software renewals, etc.)

Demonstrate and reflect the mission and values of the organization.

Proactively coordinate and collaborate with colleagues to fulfill mission and objectives of the job.

Perform other job-related duties as assigned

Qualifications:

  • Bachelor’s degree and at least 3 years’ relevant work experience in Development at a nonprofit organization.
  • Excellent understanding of and proficiency working with relational databases, including 3+ years’ experience working with an enterprise-level CRM, such as HubSpot or Salesforce.
  • Thorough knowledge of common donation platforms, such as those mentioned above or similar, is highly desirable
  • Strong analytical skills and enjoy working with data
  • Proficient in software and data management
  • Excellent presentation, written and interpersonal communication skills
  • Thorough knowledge of Microsoft Office products (Word, Excel, PowerPoint, Teams, Outlook)
  • Proactive and solutions-oriented, with outstanding organization and project management skills to multitask effectively.
  • Experience with prospect research tools such as DonorSearch is highly desirable
  • Highly collaborative, communicative and transparent, with the ability to build strong and effective internal and external relationships
  • Must be able to work in a fast-paced environment and manage multiple projects as priorities change, with an exceptional eye for detail and accuracy and focused on meeting all deadlines and performance goals
  • Professional demeanor and discretion in handling confidential and sensitive donor information
  • Excellent customer service skills with the ability to represent Partnership to End Addiction professionally to all donors, Board members and strategic partners
  • Excellent interpersonal and customer service skills with the ability to respond effectively and in a timely manner to sensitive inquiries and requests in confidence and with the utmost discretion.
  • Compassion, empathy and respect for those impacted by substance use and addiction and the highly sensitive nature of our mission, with the ability to communicate with grace and sensitivity
  • Must be available to work occasional evening or weekend hours as needed

This is a hybrid role. The Manager, Donor Operations will work in the New York City office at least one day per week.
