We are looking for an active & proactive Office Manager to manage our information flow and deliver results on various special projects. You must be a hard worker ready to jump in to help our small but growing company! We operate at a fast pace and you must be capable of wearing multiple hats to assist others. As Office Manager you provide executive support to the General Counsel and CEO & President at Custom Manufacturing & Engineering, Inc. (CME). Though Office Manager is a supportive role, which is integral to the success of CME.

Familiarity or at least interest in the aerospace/defense industry with a willingness to learn more is helpful. You'll be managing most all of our information flow & presentations, as well as keeping people connected (internally and externally--while using ironclad discretion) and working on a variety of special projects.

Job Characteristics: This position requires a specialized person with exceedingly high standards for accuracy and quality to provide daily planning, execution, organization, and Resolving Problems on a variety of issues. Strong effective communication skills are a MUST and you must not engage in any gossip or speculation. This job allows for autonomy and is ideal for those persons who are self-motivated and reliant (no retiring on the job or playing on your phone).

DUTIES AND RESPONSIBILITIES

  • Hard Worker with self-motivation to accomplish assignments independently on variety of activities while continuously resolving problems in a highly efficient manner.
  • Arranging complex and detailed travel plans (on their own) for CME personnel-putting themselves in the shoes of the traveler (all steps to get from Point A to B)
  • Completes special projects of an administrative and/or organizational nature
    • Scheduling/Managing active calendar & keeping stakeholders informed of changes;
    • Completing expense reports & monthly credit card expense tracking/reporting;
    • Composing and preparing correspondence that is sometimes confidential;
    • Superior Filing & Organization.
    • Works to eliminate & resolve issues before they become headaches.
  • "Gatekeeper" and manager of first impressions for internal & external customers.
  • Smooth and savvy communication skills- sometimes directly, and on behalf of management while maintaining dignity, professionalism, and trust.
  • P repares/produces reports & PowerPoint presentations .
  • Meetings preparations-secure space, materials, & hands off to presenter upon arrival
  • Responsible for planning, organizing, and executing special projects/meetings: luncheons/parties, maintaining & ordering office supplies, and other related tasks.
  • Prioritizes & deconflicts several projects issues/personnel while engaging with strong attention to details ; handles matters expeditiously, proactively, and follows-through on to successful completion
  • Responsible for updating & maintaining business continuity plan as well as safety manuals and emergency contacts for CME employees, interns, & contractors .
  • Provides assistance by running errands and other duties as assigned.

Job Qualifications:

  • Adept Problem Solver/Fixer who is a team player and individual contributor (depending on needs)
  • Tech Savvy & Exceptional Microsoft Office Skills: PowerPoint, Word, Excel, Outlook
  • Type 70+ WPM
  • A fast learner, good listener, & note-taker
  • Superior Administration Skills-Anticipating needs, Preparation for Events, and Follow-up
  • Organization Guru
  • Scheduling Wizard with experience making travel arrangements, maintaining busy schedules, dealing with logistics, creating itineraries with detailed instructions from Point A to B
  • Very strong written and oral communications skills maintains confidentiality
  • Ability to follow general and detailed instructions and grasp new concepts quickly

MINIMUM REQUIREMENTS NEEDED :

  • 5 years of prior office manager and/or executive assistant/specialized experience .
  • Bachelor's Degree-Preferred or AA/AS degree with relevant work experience .
  • Positions with CME require access to controlled goods and technologies subject to the International Traffic in Arms Regulations or the Export Administration Regulations. Applicants for these positions need to be "U.S. Persons," as defined in these regulations. Generally, a "U.S. Person" is a U.S. citizen, lawful permanent resident, or an individual admitted as a refugee/granted asylum.
  • Predictive Assessment, Reference, Credit, & Drug Test.
