The Operations Associate will support the overall operation of the Bronx School Operations team in daily administrative functions. Responsibilities Essential Job Duties & Responsibilities
Responsible for creating and maintaining a welcoming and efficient front office that emphasizes organization, professionalism, and courtesy
Serve as the main point of contact in the school reception area
Manage phones and calendars of school leaders (incoming calls, take messages, schedule meetings, etc.)
Maintains documents, files and records (e.g., registration, student files, testing materials, immunization records, etc.) for the purpose of providing up-to-date reference and audit trail
Maintain the Student Information System (student attendance, student discipline, grade reporting, basic scheduling, etc.) Ops Systems
Responsible for recording, tracking and following up on all student tardiness and absences
Purchase instructional, office and janitorial and maintenance supplies. Solicit and document competitive bids when necessary
Manage school communications and documents archive (e.g., produce letters, memos, and school mailings)
Other duties as assigned by the Director of Operations, Executive Director, or other members of Operations and school leadership teams
Non-Essential Job Duties & Responsibilities
Construct school partnerships with families and local community organizations for additional student needs, such as after-school programs
Assist in the coordination of logistics and planning for all school events as requested by school leaders
Plan and assist with the logistics of all school field trips (trip selection, pre-visit preparation, transportation, follow up, and evaluation)
Work with the custodial team to ensure the building is cleaned and all necessary repairs are made in a timely manner
ATS System management
Qualifications & Behavioral Competencies
Bilingual - Spanish speaking (preferred)
Ability to problem solve independently and as a member of a team
Ability to manage time and set priorities
Ability to think clearly and analytically about complex organizational issues
Ability to consistently meet deadlines
Ability to communicate effectively (written and oral) about projects and progress to supervisors and team members
Willingness to take initiative and assist team members
Maintains a congenial demeanor in dealing with internal and external constituents
Comfortability with technical programs related to schools i.e. PowerSchool, Expensify, SchoolMint, eDoctrina, etc (preferred)
Bachelor s degree (preferred)
This person will support the Bronx Operations teams.
