Job Description - Program Manager - Dietrich College

Carnegie Mellon University's Dietrich College of Humanities and Social Sciences is searching for a Program Manager to join their team. This is an exciting opportunity for someone who thrives in an interesting and challenging work environment. You will contribute to the department by providing support by providing management and operations support to the faculty leaders of K&L Gates and the Humanities Center. They will assist in the leadership, management and operations of both initiatives including event planning, coordination, and execution. They will contribute to the strategic vision of both initiatives to ensure continued vitality and growth. Approximately 50% of the program manager's effort will be dedicated to the K&L Gates initiative's activities, and 50% will be dedicated to the Humanities Center in Dietrich. Reporting to the Dean of the Dietrich College of Humanities and Social Sciences, the Program Manager will lead the management and operations of Carnegie Mellon's K&L Gates Initiative in Ethics and Computational Technologies and the Dietrich College's Humanities Center.

Core responsibilities include:

  • External-facing conferences/convenings. Provide the logistical support necessary for conferences and events hosted by the K&L Gates initiative and the Dietrich Humanities Center. This includes inviting speakers, arranging venues, food, travel, a web presence for the event, ensuring that reimbursements are processed, all other logistical tasks involved in hosting external-facing events, and work with city-wide or regional institutions to coordinate events sponsored by either the K&L Gates Initiative or the Humanities Center.
  • Facilitating regular meetings on campus. To build community among K&L Gates fellows, faculty, and students interested in ethics and AI across campus, the K&L Gates Initiative may host periodic lunches, social events, and/or a speaker series. The PM is expected to facilitate these meetings, including booking a venue on campus, distributing information, tracking RSVPs, and ordering food or beverages. Similar activities will commence for the Humanities Center with the addition of providing support for working groups, project groups, guest speakers and other university offices on speaker contract agreements.
  • Communications and Marketing. Coordinate the drafting process, publication, and dissemination of public-facing materials derived from the initiative's activities, including reports and whitepapers derived from the content of initiative's events, grant final reports, and annual reports. Maintain the web presence for the initiative including regularly updating the initiative's web page, attend to social media, send and respond to outreach emails. Working closely with the Dietrich Communications Team the PM will also serve as a point of contact for the distribution of both print and electronic communications for the Humanities Center. Responsibilities will also include helping to build and maintain d-lists of faculty, graduate students, university offices, centers, departments, local and regional centers, departments, universities, and nonprofit organizations relevant to these initiatives.
  • Managing fellowships and prizes. Coordinate the application and review process for Graduate fellows, undergraduate prizes, and other regular awards that are part of the K&L Gates Initiative. This includes soliciting nominations for fellows, helping to assemble dossiers, run a review committee, distributing application files, and contacting nominees.
  • Stewardship of the relationship with K&L Gates. Schedule regular meetings, provide updates, and send invitations to events to our partners at the K&L Gates law firm and other internal and external constituents of the K&L Gates Initiative.
  • Regular meetings with Deans and Provost. Schedule two meetings per year with the supervising deans (Dietrich and SCS), one of which should include the university Provost.
  • Regular Meetings with the Director of Humanities Center . Meet on a regular basis with the Director of the Humanities Center and associated faculty to prioritize and plan Center activities.
  • Monitor key internal and external activities relevant to areas of foci for the K&L Gates initiative (i.e., ethics and computational technologies) and the Humanities Center, and provide regular summaries to chairs/Director(s) to inform mission and strategy.
  • Program planning and leadership. Lead and coordinate outreach and event related activities for the Humanities Center in support of Dietrich College goals and objectives.

Qualifications:

Education: Bachelor's degree; Master's degree preferred

Experience : 3-5 years of relevant experience; strong project management skills; attention to detail; high degree of professionalism; and advanced proficiency with various computer applications.

Mission Driven: Able to understand the initiative's objectives and provide value to the faculty leaders. Willing to apply skills and abilities to do organizational and logistical tasks as needed, with the same level of quality as larger project management tasks. Committed to the belief that computational technologies must be developed and deployed ethically. Familiarity and interest in learning about AI ethics, policy, and practice.
