This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote.

DESCRIPTION

Under general supervision by the Executive Director of Business Affairs and general work direction by Program Administrators/Managers, the incumbent provides programmatic administrative support to the School of Medicine Graduate Programs, which encompass Biomedical Sciences (BMS) and Neurosciences (NGP) and the Medical Scientist Training Program (MSTP). Assists with logistics and coordination for all program events and educational activities. Process all program expenditures including payment authorizations, travel reimbursements, honorariums and transactions related to program events and student activities.

The Biomedical Sciences Graduate Program (BMS) is the largest graduate program in Health Sciences with approximately 200 students. As an umbrella program, instruction and research occurs at multiple sites with nearly 300 faculty members from 30 university departments and 10 external institutions, such as Sanford Burnham Prebys Medical Discovery Institute, the Salk Institute, the Scripps Research Institute, La Jolla Institute for Immunology, and the Craig J. Venter Institute.

The Neurosciences Graduate Program (NGP) has approximately 100 students and 180 faculty members also brought together from many campus departments including UCSD School of Medicine, approximately 20 general campus departments and a number of affiliated institutes. The Neurosciences Graduate Program is an interdisciplinary program that provides coursework and research training leading to a degree of Doctor of Philosophy in all areas related to the development and function of the nervous system.

The Medical Scientist Training Program (MSTP) is an MD-PhD program and has approximately 40 medical students and 50 PhD students. The MSTP an inter-institutional collaboration that combines clinical training under the auspices of the UCSD School of Medicine with research training from a number of world-renowned research institutions.

The Program Support Coordinator applies acquired skills, process, and policy knowledge to support professional health education program learners. Coordinates program operations, which include teaching and learning activities, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, and program accreditation. Performs other duties as assigned.

MINIMUM QUALIFICATIONS

  • Six years of related experience, education/training, OR an Bachelor’s degree in related area plus two years of related experience/training.

  • Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.

  • Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.

  • Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner.

  • Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.

  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision.

  • Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.

  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.

  • Excellent interpersonal skills to articulate program information and requirements to a variety of individuals with broad education, cultural, and language backgrounds utilizing tact, diplomacy and discretion. Ability to work in a team framework in conjunction with the principles of community.

  • Administrative experience scheduling meetings, conferences, and receptions with strict attention to detail and ability to organize tasks, documents and materials for events with efficiency and accuracy.

PREFERRED QUALFICATIONS

  • Experience with UCSD systems (OFC, CONCUR, UCPath, ISIS, Studentlink)

  • Knowledge of policies and procedures related to purchasing, travel, disbursements, human resources and payroll.

SPECIAL CONDITIONS

  • Employment is subject to a criminal background check.

  • Occasional evenings and weekends may be required.

  • Must have a valid CA driver's license and acceptable driving record and be able to drive a 7-passenger+ van to transport students.

Pay Transparency Act

Annual Full Pay Range: $43,900 - $91,900 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $21.02 - $44.01

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).

Job offer is contingent on successful engagement in the UC COVID-19 Vaccination program (fully vaccinated with documented proof or approved exception/deferral).If applicable, life-support certifications (BLS, NRP, ACLS, etc.) must include hands-on practice and in-person skills assessment; online-only certification is not acceptable.
