Job Description - Publishing Operations Assistant

Johns Hopkins University Press seeks a Publishing Operations Assistant who will be responsible for performing editorial and production functions for the reprints program, assisting with the project management of book publications, and handling administrative duties for the Publishing Operations department. The Publishing Operations Assistant will join a team of exceptional professionals committed to bringing the benefits of discovery to the world by providing global access, impact, and influence for the scholarship that we publish and distribute. This position will help to ensure that the Press is a leader in the selection and development of innovative ideas and scholarship, the creation of pioneering technologies to enhance discovery and learning, and the connection of people to the most trusted knowledge from global researchers, scholars, and educators.

The Publishing Operations Assistant supports the activities of the design, manuscript editorial, and production teams and works with staff from across all Books Division departments. The Hopkins Press Books Division publishes between 120 and 150 titles annually, along with more than 200 reprints per year This position reports to the Director of Publishing Operations.

The starting salary range for this position is $ 31,200 to $43,388. Actual salary may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.

Specific Duties & Responsibilities

  • Assist with reprints process including performing the editorial and production work to implement text corrections, update and archive production files, track budgets and schedules, and ensure timely manufacturing and distribution.
  • Obtain Cataloging-in-Publication data from the Library of Congress for all new books.
  • Accurately track departmental invoices and process in a timely manner.
  • Assist with cover design and review process.
  • Take meeting notes and distribute minutes for departmental meetings.
  • Assist with real-time maintenance and completeness of records in title management database and generating reports/pulling data.
  • Assist with management of electronic content archive and manufacturing library including confirming/researching accuracy and completeness of files, materials, and/or specifications.
  • Manage physical components and final products including distributing advance book copies and covers and returning excess inventory to the warehouse.
  • Under supervision of publishing operations managers, responsible for editorial work and production coordination on a limited number of book projects, primarily first-time paperbacks and revised editions, working directly with authors, freelancers, and vendors.
  • Train, supervise, and direct the work of staff, casual workers, students, and interns, as needed.

Minimum Qualifications

  • High School Diploma or graduation equivalent.
  • Two years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.




Preferred Qualifications

  • Strong interest in book design, editing, proofreading, and/or typography.
  • Proficiency in full suite of Microsoft Office applications.
  • Proficiency in Acrobat, InDesign, and Adobe Creative Cloud applications.
  • Familiarity with Chicago Manual of Style.
  • Excellent critical thinking and communication skills.
  • Superior problem-solving skills including using analytics to drive decisions.
  • Creative thinker; embracing new ideas; passionate about developing the potential of Hopkins Press.
  • Inclusive in decision-making and problem-solving.
  • Excel in effective use of resources; keen self-awareness of strengths and weaknesses.
