Position Summary: We are seeking an exceptionally organized and proactive Executive Assistant to provide comprehensive support to our Vice President (VP) of Sales. This role transcends traditional administrative duties, serving as a strategic partner to the VP and facilitating seamless interaction between the Field Forensics Team and a diverse range of internal and external stakeholders. The ideal candidate will excel in communication, coordination, and problem-solving, ensuring the efficient execution of tasks and enhancing operational efficiency and strategic alignment within the organization. Responsibilities: Manage and prioritize the VP's schedule, including calendar management, email correspondence, and customer engagement, optimizing the VP's time usage. Act as a liaison between departments, fostering effective communication and coordination to facilitate the execution of sales, marketing, training, and customer success initiatives. Coordinate complex schedules and streamline information flow within the Field Forensics leadership team to enhance operational efficiency. Oversee logistics for the VP, including travel arrangements and meeting/event preparations, ensuring seamless execution. Provide comprehensive administrative support, including drafting communications, preparing meeting materials, and handling day-to-day office tasks. Facilitate the dissemination of organizational updates to the Field Forensics team through various communication channels. Plan and coordinate meetings and events, managing scheduling, logistics, and communication to ensure successful outcomes. Manage daily operational tasks, financial administration, and assist in performance reporting and presentation development. Support the Field Forensics sales team in conference and event management, including lead information entry and follow-up coordination. Lead special projects and initiatives as directed by the VP of Sales, contributing to the company's strategic goals. Implement and maintain a digital filing system for easy document retrieval and decision-making support. Uphold professionalism and confidentiality in managing sensitive information. Skills & Qualifications: Proven experience in an executive assistant or similar administrative role. Exceptional organizational and time management skills. Strong communication skills, both written and verbal. Discretion and professionalism in handling confidential information. Proficiency in Microsoft Office, Salesforce, Slack, and other productivity tools. Ability to work independently and as part of a team. Experience in event coordination and logistics management.
