Job Description

This position must be capable of handling multiple priorities in a high-volume setting relating to the various subject matter areas within Office of Safe Schools (OSS). You must be able to coordinate and oversee administrative duties in an office and ensure that the office operates efficiently and smoothly. The responsibilities generally include duties providing liaison capabilities for the solution of operational and management problems in addition to greeting visitors, managing office supplies, overseeing other administrative staff, and supporting staff with administrative tasks like scheduling meetings.

Duties and Responsibilities

  • Assistant to the Vice Chancellor, Executive Director and assists the Deputy Directors and OSS staff.
  • Manage Office of Safe Schools purchasing, including equipment, supplies, and other commodities.
  • Prepares and processes personnel related materials (confidentiality of these matters will be maintained at all times).
  • Assist with Pcard administration for the OSS.
  • Receive and evaluate incoming information and ensure timely dissemination of appropriate information to key personnel.
  • Receive and route incoming phone call to the appropriate staff.
  • Monitors the OSS mailbox for correspondence from IG regarding complaints, parents needing information and assistance and other constituents.
  • Handles CorrFlow assigned to the OSS.
  • Assist with scheduling and coordination of the OSS leadership calendars and daily activities.
  • Support coordination of all OSS travel arrangements, including travel itinerary, air and ground transportation, hotel reservations, meeting room accommodations, and travel reimbursement.
  • Plan and coordinate meetings, conference calls, including lodging and meeting space negotiation, securing technical support when needed, etc.
  • Serve as the lead support for the OSS. 
  • Perform other duties as assigned.

Minimum Qualifications

  • An Associate degree from an accredited college or university; or a Bachelor's degree from an accredited college or university.
  • Three years of professional experience within an office environment or administrative work.

Knowledge, Skill, and Abilities

  • Knowledge of office procedures and practices; personal computers and working knowledge of MS Office programs - Outlook, Word, Excel, Access and PowerPoint.
  • Knowledge of the principles and techniques of effective communication.
  • Knowledge of basic management principles and practices.
  • Knowledge of the methods of data collection and analysis.
  • Knowledge of basic arithmetic.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.
  • Ability to deal with the public in a tactful and courteous manner.
  • Ability to perform basic arithmetical calculations.
  • Ability to work independently.
  • Ability to utilize problem-solving techniques; to solve problems and make decisions.
