The Opportunity

As an essential member of the Lab's Marketing & Communications (M&C) group, the administrative assistant will support the Lab's increasing focus on marketing and communications as a critical conservation strategy. The team's overall focus is on engaging global audiences to "bend the curve" of decline in a positive direction for birds and biodiversity. This position will work directly with the Lab's three M&C teams--strategic communications, integrated marketing, and sponsorships--in addition to serving as an important liaison with the Lab's many other partners, audiences, and benefactors, on campus and off.

Reporting to the Lab's senior director for operations and administration, the Marketing and Communications Assistant is entrusted to:

  • Provide consistent organizational and administrative support to the senior director and the M&C team, which may take the form of scheduling, project management, events, and logistics oversight, and/or budgeting.
  • Play a key role in the development of marketing and communications presentations and collateral, including design, writing/editing, and other creative work.
  • Approach the role and the work with a self-motivated and a highly collaborative mindset, exercising good judgment, discretion, and diplomacy as an ambassador for the Lab, the M&C group, and Cornell University at large.
  • Collaborate with Cornell University's broader network of communicators to enhance and preserve the university's brand and reputation, support critical programs serving the university's teaching, research, and public engagement mission.
  • Operate within a matrixed organizational system regularly collaborating and consulting under University Relations engaging print and digital information with departments including News, Media Relations, Branding, Strategic Communications.
  • Additional responsibilities may be assigned as indicated by the successful candidate's aspirations and development in the role.

The Marketing and Communication Assistant position is performed through a hybrid format at the Lab of Ornithology 3 days, remote 2 days per week, Monday through Friday between 8:00AM to 5:00PM, with flexibility on start and end times and exact hybrid/remote days, which will be mutually determined between you and your supervisor.

What We Need

  • A cover letter and resume outlining your interest and how your experience and goals align with the potential for mutual success in the role are required for consideration.
  • Associates Degree or equivalent with at least 2 years' relevant experience or equivalent combination of education and experience.
  • Demonstrated organizational skills, attention to detail, and problem-solving abilities.
  • Effective communication and collaboration in diverse teams and settings.
  • Writing, editing, and proofreading skills.
  • Proven track record of managing multiple projects and priorities concurrently.
  • Proficiency in design and standard office software (e.g., Microsoft Office).
  • Willingness to learn new skills and participate in training.
  • History of reliability and maintaining confidentiality.
  • Flexibility to work outside normal business hours occasionally.
  • Commitment to diversity, equity, access, inclusion, and wellbeing.

  • Background working in an academic research organization, a technology organization, or a global nonprofit.
  • Project management skills.
  • Adaptability to the evolving nature of the position, including involvement in various tasks such as invoicing, branding exercises, and engaging with diverse communities.
  • Knowledge of Cornell's accounting and administrative systems and policies.
  • Wordpress software experience helpful; or other CMS or web publishing software experience.
  • An appreciation of birds, the natural world, and conservation.
