The Opportunity :

OpenText is seeking a Receptionist/Front Desk Coordinator to join our Facilities Operations Team to support our Executive US Headquarters office in Menlo Park. 

As a key member of the team your primary focus is to ensure the Menlo Park office operates effectively and efficiently. You thrive in a busy environment where the emphasis is on the delivery of superior service levels and excellent customer support to our internal stakeholders and guests.

As a first point of contact, you are an ambassador of our brand and take pride in providing the optimal customer experience. This requires organization, taking initiative, creativity, active listening, and a superior level of professionalism.

You are great at:

  • Ability to thrive in a busy executive corporate office environment while juggling a multi-line task such as guests and vendor management, tending to the phones and acting as a first point of contact for staff and guests. (inclusive of high-level guests, executives, property management, vendors and building security).
  • Perform an extensive array of administrative tasks, including managing meeting room calendars, shipping and receiving and mail distribution, maintain office supply inventory, ordering office and kitchen supplies, updating operating manuals etc.
  • Maintain the professional appearance and general organization of the reception and mail/print room.
  • Partner with key stakeholders within the office (i.e., Office Manager. Executive Assistants, IT, Marketing, Sales) to align and meet business objectives.
  • Conference and meeting support and set up, including Catering (delivery/ pick-up) and/or room preparation, assist with events as time allows.
  • Promptly act on requests with expedience and a sense of urgency
  • Identify and implement opportunities for improvement, including processes and procedures.
  • Join the local Health & Safety committee, participate in monthly meetings, and assist the Facilities Coordinator to ensure legislative requirements are being met
  • Work closely with the Facility Coordinator & Security teams ensuring services run efficiently and effectively.
  • Input Facilities requests into the building management online ticket system for security, repairs and maintenance and follow through to completion where applicable.
  • Support with a d hoc projects (including space management), while always maintaining a “best in class” experience .
  • Other assigned projects and general administration tasks as required.


What we’re looking for:

  • Minimum of 5 years administrative support in a corporate office environment
  • BA/BS degree or equivalent practical experience
  • Superior communication, both written and verbal within all levels of the organization
  • Ability to think quickly and offer practical business solutions in a discreet and confidential manner where appropriate.
  • Exceptional time management skills, organizational and prioritization skills
  • Highly proficient in MS Office Suite (Teams, Word, Excel, Outlook inc. calendaring)
  • Well organized and the ability to work under pressure and balance multiple tasks in a dynamic and fast-paced environment.
  • Attention to detail, sense of urgency, and follow-up and follow-through on assigned tasks.
  • Focus on collaboration to provide the best customer experience.
  • Flexibility to work overtime, as needed.
  • Work comfortably with the senior executive leaders.
  • Adapt to changing priorities and the dynamics of a growing organization.
  • General problem-solving ability and a ‘can do’ approach with flexibility to provide consistent service in a continual changing environment.
  • Candidate should have an outgoing personality, be well presented, and possess the ability to communicate with employees, customers, and suppliers at all levels.
  • Experience in the hospitality industry is considered an asset.
