Description:

Up to 14 hours per week, organizes and implements administrative systems and procedures. Serves as principal source of information on unit, project or program. Gathers and maintains data for and assists in preparing reports, often using a variety of computer software. Prepares and maintains financial, personnel, administrative, student records. Provides for smooth day to day flow of communications within the department. May compose, proofread, edit and prepare correspondence, reports and other materials using word processing, spreadsheets and or databases. Arranges for use of facilities and plans meetings, conferences and seminars. Contributes to unit goals by accomplishing clerical or administrative duties as required. Ability to work independently with minimal supervision, to handle complex and confidential information. Competency using a variety of office computer software. Requires intermediate to advanced knowledge of email calendar, word processing, spreadsheets. Prior office experience required.

  • Additional Job Details : Reporting the Associate Director, the Leadership Initiative is seeking an administrative assistant with the following skills and qualities: 1. Project Management: Excellent project management abilities are essential. The ideal candidate should be adept at planning, organizing, and executing tasks efficiently. 2. Communication Skills: Strong communication skills, both written and oral, are crucial. The candidate should be able to convey information effectively and collaborate with team members. 3. Interpersonal Skills: The ability to work well with others is vital. The candidate should demonstrate professionalism, empathy, and a positive attitude when interacting with colleagues and stakeholders. 4. Professional Judgment: Knowing when to seek guidance and when to take the initiative is important. The candidate should exercise sound professional judgment in decision-making. 5. Independence and Confidence: We value candidates who can work independently. Confidence in handling tasks autonomously is a plus. 6. Confidentiality: The candidate must handle complex and confidential information with discretion. Trustworthiness and integrity are key. 7. Team Player: While independence is valued, the candidate should also function effectively as part of a team. Collaboration and cooperation are essential. 8. Multitasking: The ability to manage multiple projects simultaneously is critical. Strong organizational skills are a must. The administrative assistant will assist with logistics for executive education program personality assessments, including distributing surveys, follow-up, troubleshooting, printing, and collating reports. The person will also be responsible for post-program outreach to participants (e.g., coordinating the mailing of materials). The ideal candidate will have strong problem-solving skills, keen attention to detail, and excellent customer service skills. The position requires high proficiency in using technology (e.g., Word, Excel, PowerPoint, Teams) to support complex administrative functions, including presentations, spreadsheets, and mail merges. Additionally, we welcome someone proficient in social media to assist in updating the Leadership Initiative s LinkedIn page. We also expect all members of our team to assist with research projects through basic Internet and library research (e.g., tracking down copyright information, locating references, and reviewing source information) on an as-needed basis. The individual must be able to work independently with minimal supervision in a work environment of multiple and conflicting priorities, anticipate and resolve problems, and update the supervisor on the status of projects. They must also take ownership of projects to see them through successfully to completion. Additionally, this position may require some flexibility in the work schedule to support events and programs on weekends and evenings. Basic Qualifications required for this position: 4+ years of related administrative experience. BA/BS preferred.
