Location:                            Hibbing, Virginia occasionally

Pay Band/Wage Range:  $18.00 - $27.00 (Pay Band 2) BOE

Range Mental Health Center is proud to be a Certified Community Behavioral Health Clinic (CCBHC). The goals of the Certified Community Behavioral Health Clinics program in MN are to 1) increase access to community-based mental health and substance use disorder services (particularly to under-served communities), 2) advance integration of behavioral health with physical health care, and 3) improve utilization of evidence-based practices on a more consistent basis.

Job Summary:

The Access Coordinator is often the “face” of the company for the people we serve and is responsible for the first impression. They are responsible for greeting and directing patients, scheduling patient appointments, processing referrals, making reminder calls, registering patients for appointments, informing patients about delays and wait times, support seamless trauma informed service, obtaining insurance information, collects and verifies all patient information. They work together to provide staffing coverage in all RMHC locations providing support for clinician programs and nursing staff. 

Duties/Responsibilities:

  • Greet clients in a pleasant and prompt manner and direct them to the appropriate locations. 
  • Assists care team in processing/collecting various forms, letters, and other documentation.
  • Facilitate Preliminary Screening Risk Assessment for all new clients.
  • MNSure navigation
  • Obtain prior authorization and verification of coverage for private, MA/PMAP and all other insurances at the time of scheduling. 
  • Facilitate sliding fee scale and Collect Co-pays as needed.
  • Answer all incoming calls in a pleasant and kind manner.
  • Perform transcription, typing, filing, orders supplies, and other clerical duties as assigned. 
  • Collects and verifies all client data from patients and enters it into the EMR accurately at the time of scheduling to ensure smooth revenue cycle. 
  • Facilitate the use of RMHC meeting and conference rooms.
  • Assists care team in the plan of care by performing a proper checkout of the clients following the established process.
  • Enter required reports for multiple programs into the Department of Human Services website as needed. 
  • Assist clients with set up for video conference appointments.
  • Follow CCBHC scheduling protocols, ensuring timely client access within strict timelines.
  • Manage clinicians’ schedules for building/open/close/block/reschedule as directed.
  • Engage colleagues as valued members of the RMHC team to ensure optimal service to all.
  • Performs additional related responsibilities as required and assigned

Required Skills/Abilities:

  • Able to perform multiple tasks at the same time.
  • Able to always demonstrate excellent customer service skills. 
  • Excellent verbal and written communication skills.
  • Preferred skilled in Microsoft Office, Credible, and system databases.
  • Exhibits problem solving skills and emotional intelligence by accepting responsibility, refraining from blame shifting, and assuming responsibility for a safe secure environment.  
  • Ability to work well with others in a fast paced, dynamic environment.
  • Ability to maintain regular and reliable attendance
  • Must be able to maintain a Minnesota driver's license and auto insurance

Education/Experience:

High School diploma or equivalent. 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times. 
  • Adequate level of vision to use computer terminal.
  • Sufficient hearing to accurately record information received verbally.
  • Must be 18 years of age.
