Account Administrator - Southwest

We are looking for an Account Administrator. As a member of the SWARCO McCain team, you will process routine customer inquiries and standard correspondence on complaints, deliveries, terms, order changes, service, and related matters. Acknowledge orders and advise customers of order substitutions, status, back order, etc.

Duties / Responsibilities

1. Active communication and correspondences with the assigned accounts/ customers, including delivery status, letter of explanation for delays, etc. Processes customer inquiries, delivery information and terms.
2. Interdepartmental communication for new part numbers as needed.
3. Process of sales orders including revisions as needed.
4. Processing of Return Merchandise Authorization (RMA) forms for defective or incorrect material.
5. Creates and manages Job Closing Reports to make sure the job was billed correctly.
6. Create “CRM” Project Folders. Download and organize Plans and Specifications. Post Addendums to Project Folder.
7. Create Caltrans and City of Los Angeles Inspection Documentation.

1. Minimum of a high school diploma or GED
2. 2+ years of experience in customer service
3. Worked in construction industry or electrical sales is strongly preferred
4. Technical product aptitude is a plus
5. General understanding how to read building plans or specifications is a plus
6. Excellent verbal and written communication skills for effective customer communication
7. Ability to stay well organized, multi-task and set priorities
8. Attention to details
9. Computer skills, especially MS Office, Dynamics 365, or Great Plains software.

Physical Conditions / Requirements

• No unusual physical requirements. Requires no heavy lifting and nearly all work is performed in a comfortable indoor facility.
• Occasional – Routine deadlines; usually sufficient lead time; variance in work volume seasonal and predictable; priorities can be anticipated; some interruptions are present; involves occasional exposure to demands and pressures from persons other than immediate supervisor.
• Job frequently requires sitting and handling objects with hands.
• Job occasionally requires standing, walking, bending, reaching, talking, hearing, and lifting up to 10 pounds.
• Vision requirements: Ability to see information in print and or electronically.
• Hearing requirements: Ability to hear others over the telephone and in person.
