We are currently seeking a proactive and detail-oriented Office Manager/Billing Specialist to join our dynamic team. This is a permanent position in our fast-paced and innovative engineering firm. The successful candidate will be responsible for managing all aspects of office operations, including billing and financial management. This role requires a high level of integrity, accuracy, and dedication. The successful candidate must have a minimum of 5 years of experience in a similar role, preferably within the engineering industry.

Responsibilities:

Oversee and support all administrative duties in the office and ensure the office is operating smoothly.
Manage office supplies inventory and place orders as necessary.
Perform receptionist duties: greet visitors, answer and direct phone calls, emails.
Develop office policies and procedures, and ensure they are implemented appropriately.
Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure.
Identify opportunities for process and office management improvements, and design and implement new systems.
Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.
Manage customer billing, create invoices, and send them to customers.
Process incoming payments, and follow up on any delinquent accounts.
Coordinate with the accounting team to ensure accurate and timely billing of services.
Maintain accurate records of all billing activities.
Manage contract and price negotiations with office vendors and service providers.
Provide support to the HR department as needed.

Qualifications:

Minimum of 5 years of experience in office management and billing, preferably in an engineering firm.
Proficient in QuickBooks and Microsoft Office Suite.
Strong knowledge of office procedures and basic accounting processes.
Outstanding communication and interpersonal skills.
Proven ability to manage multiple tasks simultaneously and meet deadlines.
Excellent organizational and time management skills.
Strong problem-solving skills and analytical abilities.
Must be detail-oriented and comfortable working in a fast-paced office environment.
Exceptional customer service skills.
High school diploma; Associate’s or bachelor’s degree in Business Administration or related field preferred.
