Job Description - Accounting & Compliance Specialist

Description

The position is a full-time position and a member of the Accounting Team. This role supports the day-to-day financial operations of WVS and overseeing the reporting for LLC. The role ensures timely and accurate accounting, budget monitoring, grants recording and reporting and compliance with financial regulations. Other accounting related functions as requested by the Director or Executive Director. Must be able to successfully prioritize and manage accounting needs while maintaining a high level of service and professionalism and work in an environment of high expectations and deadlines. This position requires a high level of expertise in Excel and online Quick books accounting software. 

  • Accounting & Financial Operations
    • Support day-to-day accounting tasks including data entry, reconciliations, and expense tracking
    • Assist with monthly and year-end closes, journal entries, and balance sheet reconciliations
    • Maintain the chart of accounts, class list, and ensure clean coding in the accounting system
  • Budgeting & Financial Reporting
    • Prepare monthly actuals vs. budget reports for both entities
    • Track grant, contract, and program budgets and support funder and board reporting
    • Support data visualization and reporting needs for internal and external stakeholders
  • Payroll & Compliance
    • Manage bi-weekly payroll and reconciliations for the nonprofit and LLC
    • Collaborate with HR on staff allocations and ensure benefits and deductions are accurate
    • Ensure ongoing compliance with payroll and financial reporting regulations
  • Grants, Contracts & Licensing
    • Monitor and maintain grant and contract budgets and billing schedules
    • Ensure timely submission of required registrations and licensing documents
    • Maintain clean, audit-ready documentation
  • Audit & Documentation Support
    • Organize and maintain board and subcommittee finance documentation
    • Assist with year-end audit prep, document gathering, and responses to auditor inquiries
  • Program Coordination & Cross-Team Support
    • Work with program and development teams to align revenue, billing, and financial reporting
    • Stay current on nonprofit and public sector accounting practices

Requirements

  Qualifications:

  • Bachelor’s degree in accounting or related field or years of experience in a similar or related position will be considered in lieu of degree.
  • Minimum of 5 years of progressive experience in nonprofit accounting, including experience with payroll, reconciliations and grants/contracts. 
  • Proficiency in accounting software - QuickBooks online and Microsoft Excel.
  • Experience working with multi-entity organizations, nonprofit with affiliated LLC is preferred.
  • Communicates clearly and professionally across all levels of the organization, as well as with vendors, partners, and external stakeholders.
  • Able to coordinate and manage large volumes of information, task, timelines with accuracy and clarity.
  • Experience in record keeping, file management, firm design and maintaining compliance documentation.
  • Ability to work independently with minimal supervision; and shows accuracy in all work and takes initiative to follow through.
  • Clear understanding of financial workflows from transaction entry till closing.
  • Builds and maintains proper positive, collaborative relationships; demonstrates active listening and emotional intelligence in diverse workplace interactions.
  • Represents the organization with integrity and professionalism in all interactions and settings.
  • Prioritizes tasks, manages deadlines and organizes complex workflows efficiently in a dynamic environment.
  • Ability to pass Washington State Background check, DSHS background check 
  • Possess and maintain current Driver’s license and retain auto insurance as law requires.

  Physical Requirements:

  • Frequent standing, walking and sitting.
  • Minimal lifting and carrying up to 10 pounds.
  • Occasional lifting and carrying up to 20 pounds.
  • Must be able to work at computer or desk area for extended periods of time.
